STARBASE ROBINS
is seeking a highly organized, detail-oriented Administrative Executive Assistant to support the Executive Director and overall program operations. This is not a traditional administrative role. it is a critical leadership support position that serves as the operational backbone of the organization. The ideal candidate will function as a strategic partner to the Executive Director, ensuring organizational efficiency, fiscal accountability, and seamless day-to-day operations. This individual must be exceptionally strong in bookkeeping, highly organized, and capable of managing multiple priorities while supporting a dynamic STEM education team. Key Responsibilities Provide direct executive level support to the Executive Director, including scheduling, coordination, and organizational management Maintain accurate and up-to-date financial records; manage internal bookkeeping processes Serve as a secondary layer of financial oversight by reviewing and cross-checking accounting processes managed through the Museum of Aviation Foundation Assist in budget development, tracking, and financial reporting Support procurement processes, including purchasing supplies, equipment, and program resources Coordinate administrative operations to ensure efficiency across all program areas Work collaboratively with instructional and support staff to meet organizational needs Maintain organized records, files, and documentation systems (digital and physical) Anticipate operational needs and proactively address challenges Support compliance with organizational, federal, and programmatic requirements Qualifications Strong bookkeeping and financial management experience (required) Demonstrated ability to manage budgets, expenses, and financial tracking systems Exceptional organizational skills and attention to detail Proven ability to manage multiple priorities in a fast-paced environment High level of professionalism, discretion, and confidentiality Strong interpersonal skills with the ability to work effectively across a team Proficiency in Microsoft Office Suite (Excel required); experience with accounting software preferred Experience in administrative support, executive assistance, or operations management Associate's or Bachelor's degree in Business Administration, Accounting, or related field preferred (or equivalent experience) Preferred Attributes The ideal candidate operates with a strong sense of ownership and accountability.
