This role is responsible for managing the CEO's priorities, optimizing time and efficiency, and ensuring seamless coordination across internal teams and external stakeholders. Acting as a central liaison between the CEO, Board of Directors, senior leadership, and key partners, the Executive Assistant ensures alignment of initiatives, timely communication, and disciplined follow-through. This position requires a high degree of professionalism, discretion, and judgment, as well as the ability to anticipate needs and proactively resolve challenges in a fast-paced, high-accountability environment.
ESSENTIAL DUTIES
Executive Support & Prioritization
  • Manage and optimize the CEO's calendar to ensure alignment with strategic priorities and organizational objectives.
  • Coordinate meetings, prepare agendas, and drive follow-through on action items and deliverables.
  • Anticipate scheduling conflicts and proactively resolve competing priorities.
  • Act as the CEO's primary point of contact for internal and external communications. Communication & Relationship Management
  • Serve as a key liaison between the CEO and Board members, clients, executives, and external stakeholders.
  • Draft, review, and manage high-level communications, presentations, and correspondence on behalf of the CEO.
  • Ensure timely, professional, and consistent communication across all interactions.
  • Build and maintain strong, trust-based relationships across the organization and with external partners. Meeting Coordination
  • Coordinate committee meetings and assist with Board of Directors meetings, including scheduling, materials preparation, minutes, and follow-ups.
  • Assist in the development of executive presentations, reports, and strategic materials.
  • Maintain strict confidentiality with all board-level and sensitive information. Operation & Execution
  • Support key executive and organizational initiatives by tracking milestones, deadlines, and deliverables.
  • Coordinate travel arrangements, events, and executive engagements.
  • Identify and implement process improvements to enhance executive office efficiency and effectiveness.
  • Assist with special projects and strategic initiatives as directed by the CEO. Confidentiality & Judgement
  • Handle highly sensitive and confidential information with the utmost discretion and professionalism.
  • Exercise sound judgment in prioritization, decision-making, and issue resolution.
  • Act with a high level of integrity and accountability in all aspects of the role.
MINIMUM REQUIREMENTS
These requirements reflect the minimum knowledge, skills, and experience necessary to perform this position successfully. Individual qualifications may vary.
  • Bachelor's degree preferred in business administration, communications, or a related field; equivalent experience considered.
  • Minimum of five (5) years of experience supporting senior executives, preferably at the CEO or C-suite level.
  • Exceptional organizational and time management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills, including executive-level correspondence.
  • High level of professionalism, discretion, and emotional intelligence.
  • Demonstrated ability to operate effectively in a fast-paced, high-accountability environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Strong problem-solving skills with the ability to anticipate needs and remove obstacles proactively.
