McLaughlin lives and breathes to deliver custom furnace builds to solve unique heat treat challenges. From re-builds to custom builds, field installation, and maintenance, McLaughlin Furnace Group is the Heat-Treat industry one-stop shop. Overview We are seeking a highly organized and proactive Personal Executive Assistant to support the President in both professional and personal capacities. This role requires exceptional attention to detail, strong judgment, and the ability to manage sensitive information while juggling multiple priorities. The ideal candidate is comfortable operating in a fast-paced environment and thrives on making an executive's life run smoothly.
Key Responsibilities Calendar Management:
Manage and maintain the President's business and personal calendars. Anticipate scheduling conflicts and resolve them proactively.
Meeting Coordination:
Schedule meetings, appointments, and personal commitments
Financial Monitoring:
Manage the President's budgets including utilities, bills, and recurring expenses. Ensure payments are made accurately and on time. Pull monthly account statements and enter data into QuickBooks.
Travel Planning:
Arrange all aspects of travel, including itineraries, accommodation, and transportation for company personnel. Handle last-minute travel changes.
Project Tracking:
Stay informed about key business projects and deadlines to advise and update the President as needed.
Time Management:
Continuously look for ways to make the President's schedule more efficient.
Networking Coordination:
Manage contacts and networking opportunities, aligning them with business priorities.
Personal Appointments:
Handle personal appointments to ensure a balanced lifestyle for the President. Run errands for the President as required.
Confidentiality Management:
Safeguard sensitive information, ensuring privacy and security.
Task Prioritization:
Regularly assess tasks and priorities to align with the President's strategic goals.
Feedback and Reporting:
Gather and relay relevant feedback or reports to the President for informed decision-making. Qualifications 5+ years as an executive or personal assistant. Strong organizational and time-management skills. High level of professionalism. Experience with QuickBooks or similar accounting software. Excellent written and verbal communication skills. Ability to multitask and prioritize effectively. General administration and willing to do occasional travel to various locations. Benefits 401k with
