Job Description

Position Summary The HR Administrator & Executive Assistant supports ORR Payroll's human resources operations while providing confidential administrative and personal assistant support to the ORR Chief Executive Officer. The employee also assists at the shared front desk, receives ORR client and employee requests, completes assigned HR administrative work, and routes payroll, bookkeeping, billing, credentialing, licensing, enrollment, and other specialized matters to the appropriate department. Essential Duties and Responsibilities The employee will perform the following essential functions, with or without reasonable accommodation: Human Resources Administration Coordinate employee onboarding, new-hire paperwork, orientation scheduling, and completion of required acknowledgments and employment documents. Create, organize, audit, and maintain confidential personnel files for ORR Payroll and assigned client employers. Track background checks, health screenings, credentials, licenses, certifications, training, orientation, performance reviews, and document expiration dates. Identify missing, incomplete, inaccurate, or expired records and follow up with employees, applicants, supervisors, or client representatives. Conduct or coordinate approved employee orientations and explain established policies, documentation requirements, and workplace expectations. Prepare routine HR correspondence, forms, checklists, reports, trackers, and employee communications using approved templates. Coordinate interviews, onboarding appointments, training sessions, file reviews, and HR meetings. Document employee concerns and workplace issues objectively and escalate complaints, disciplinary matters, leave requests, accommodation requests, or legal questions to the CEO or designated HR professional. Maintain confidentiality and separation among ORR Payroll's records and the records of each client employer. Executive and Personal Assistant to the ORR CEO Manage the CEO's business calendar, schedule meetings and appointments, prevent conflicts, prepare reminders, and confirm attendance. Coordinate meeting logistics, prepare agendas and supporting materials, take notes when requested, and track action items and deadlines. Screen and prioritize calls, emails, messages, invitations, and correspondence; draft routine responses for CEO approval. Handle confidential executive, financial, personnel, client, and personal information with strict discretion. Maintain the CEO's project tracker, follow up with department leaders and assigned staff, and provide concise status updates. Organize travel arrangements, itineraries, reservations, and required documents when assigned. Complete approved business errands, personal appointments, purchases, pickups, deliveries, and other assistant tasks during recorded working time. Maintain receipts and submit accurate documentation for reimbursements and company or CEO-authorized expenses. Protect the CEO's time by identifying urgent matters, routing routine requests, and escalating deadlines, legal notices, government correspondence, and sensitive concerns promptly. ORR Front Desk and Department Routing Answer calls and greet clients, employees, applicants, vendors, and walk-in visitors professionally. Identify the purpose of each ORR inquiry, document the request, and assign it to Human Resources, Payroll, Accounting, Medicaid Billing, Credentialing/Licensing/Enrollment, Customer Service, or executive leadership. Monitor designated ORR administrative and HR email accounts and maintain a task log showing assignments, urgency, deadlines, and follow-up status. Receive forms, supporting documents, and approved payments; issue receipts and securely forward records to the responsible department. Schedule ORR consultations, orientations, payroll appointments, compliance reviews, and other services using approved procedures. Provide only approved information and status updates; do not make unauthorized payroll, legal, compliance, billing, or contracting decisions. Required Qualifications High school diploma or equivalent; additional HR, business, or administrative education is preferred. Experience in human resources administration, office administration, executive support, healthcare administration, compliance, or customer service is preferred. Strong organization, discretion, written communication, verbal communication, task management, and follow-through. Proficiency with email, calendars, electronic records, online portals, office software, and standard office equipment. Ability to manage competing priorities, protect confidential information, and communicate professionally with multiple employers and departments. Reliable transportation and ability to complete approved local travel and errands.
Pay:
$40,898.32 - $43,296.89 per year
