Position Summary The Executive Assistant provides high-level administrative and operational support to the Managing Director, ensuring efficient day-to-day business operations and effective execution of key initiatives. This role serves as a trusted partner by managing schedules, communications, travel arrangements, projects, and administrative processes while maintaining the highest level of professionalism and confidentiality. The ideal candidate is highly organized, proactive, detail-oriented, and able to anticipate needs, identify opportunities for improvement, and manage multiple priorities. Executive Support & Calendar Management
- Manage the Managing Director's calendar, appointments, and scheduling priorities.
- Coordinate meetings, including scheduling, invitations, agendas, and follow-up communications.
- Maintain calendar accuracy by removing declined meetings, identifying scheduling conflicts, and optimizing time management.
- Draft, review, and manage emails, correspondence, memos, and other communications on behalf of the Managing Director.
- Prepare materials, presentations, and documents for meetings and business activities.
- Serve as a key point of contact for internal and external communications. Project Coordination
- Support strategic initiatives and special projects assigned by the Managing Director.
- Gather, organize, and maintain data.
- Track project milestones, action items, and deliverables.
- Monitor cross-functional projects that impact organizational goals and leadership priorities.
- Maintain accurate project documentation, records, and reporting. Administrative & Operational Support
- Coordinate business travel arrangements, including itineraries, lodging, transportation, and scheduling.
- Plan and support client appreciation activities, office events, meetings, and other business functions.
- Manage document retention and organization through OneDrive and other company systems.
- Maintain spreadsheets, reports, and business records with a high degree of accuracy.
- Provide general administrative support including document preparation, filing, record keeping, and communications. Qualifications & Key Attributes

Pay:
$50,000.00 - $60,000.00 per year
