Description Job Title:
Executive Assistant•Strategic Communications Position Function:
Performs a wide variety of duties, some of a confidential nature that may be required but not limited to answering phones, drafting district communication, preparing digital and physical mailings, proofreading, editing, compiling and preparing reports, maintaining supervisor's appointment calendar, composing and responding to correspondence, scheduling meetings, organizing materials for meetings, serving as recording secretary, organizing and coordinating internal events, and assisting department relative to any function requested or needed.Employee Punctuality and Appearance:
In order for schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave Any deviation from assigned hours must have prior approval from the employee's supervisor or building administrator All employees are required to report to work dressed in a manner that reflects a positive image of USD 259 and is appropriate for their positionAdditional Duties:
Performs other tasks as assigned.Equipment:
This position is required to use basic office equipment such as computers, copiers, scanners, and fax machine. Must always comply with USD 259's guidelines for equipment use.Travel:
Occasional travel between schools and central offices may be required.Physical and Mental Demands:

Contact with district personnel, community members and elected Board of Education officials Will be working under the direct supervision of the department supervisor in order to complete day to day tasks Will be working with a diverse population requiring the ability to handle all situations with tact and diplomacy Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues Expected to interact with all internal and external customers in a friendly, professional manner and provide quick, responsive customer serviceQualifications Essential Performance Responsibilities:
Track various budgets, prepare and process travel and purchase requisitions Assist with meetings by preparing agendas/minutes, ordering food, scheduling rooms, inviting participants, taking notes and tracking follow-up Prepare and compile necessary reports and surveys Maintain and create word processing databases, spreadsheets, letters/memos and presentations Initiate contracts for various communications-related services. Maintain supervisor's calendar and schedule appointments Monitor, reply and/or distribute email sent to the district's general information email accounts Provide planning and organizational support for community engagement activities with occasional event setup help Work with a team to organize and coordinate internal events Answer department's main phone line, including rollover from district's main phone line Manage volunteer background checks for district-level initiativesQualification Profile:
High school degree or GED required Bachelor's Degree in Business or a relevant area preferred Previous clerical experience requiredFLSA Status:
