Job Description
Adecco is assisting in the search for an organized Executive Administrative Assistant in Frankfort, KY. This is a long-term opportunity that will give you valuable experience to enhance your career. The ideal candidate can multi-task, have excellent computer skills, and has exceptional time management skills. This is not a remote position. An up to date resume is required to be considered for this position. Responsibilities for this Executive Administrative Assistant position include but are not limited to:
- Transfer information from system-to-system accurately
- Located and attached appropriate files to incoming correspondence requiring replies
- Reviews proposed state and federal legislative or administrative regulation changes to determine the need for policy and procedure changes
- Monitors organizational unit budget status and makes recommendations to superiors in terms of internal adjustments necessary to stay within the budget
- Contacts field personnel by phone, in writing or in person to resolve inconsistencies or inaccuracies in records and/or reports.
- Drafts correspondence or other responses for administrators, legislators, attorneys, clients and/or the general public which require the interpretation and application of policies and procedures
- Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management and other applications.
- Set up and maintain paper and electronic filing systems for records, correspondence, and other material
- Review and propose redactions to confidential information maintained in records for requests received
- Collaborate with open records team on current requests and team operations for consistency and continuity of workflow to meet deadlines for open records requests
- Attend meetings with open records team and legal counsel to discuss current requests, processes, and procedures for these requests Qualifications for this Executive Administrative Assistant position include:
- 1-2 consecutive years of professional, administrative, or business experience required
- Proficient in Microsoft Office Suite Programs (Word, Excel, Outlook, Teams, OneDrive, SharePoint)
- Must be familiar with Adobe applications for editing, redacting, combining, converting, and organizing functions
- Self-motivated
- Must be able to remain focused and pay high attention to details on reviewing various record styles
- Excellent attendance record
