Company Overview Compassionate Care Plus is a non-profit, community-based organization dedicated to providing compassionate and expert hospice care across six counties in central and eastern Kentucky and an Inpatient Hospice center located in Richmond, Ky. 40475. Recognized for high patient and family satisfaction, we focus on honoring the dignity, autonomy, and quality of life for our patients through a range of specialized programs supported by a dedicated team of staff and volunteers. Overview We are seeking a highly organized and proactive Executive Assistant to support our leadership team and oversee daily administrative works for the Chief Executive Officer. This role offers an exciting opportunity to contribute to a mission-driven organization by managing administrative functions, coordinating projects, and ensuring the smooth functioning of our office environment and Board of Directors involvement. The ideal candidate will possess exceptional organizational skills, technical proficiency, and the ability to handle confidential information with discretion. Position Summary The Executive & Board Relations Assistant provides high-level administrative support to the CEO while serving as the primary coordinator for Board of Directors activities and governance functions. This role ensures executive priorities, board responsibilities, organizational records, events, and special projects are managed accurately, efficiently, and professionally. The ideal candidate is highly organized, proactive, detail-oriented, and able to manage confidential information with discretion. Key Responsibilities Executive Support Manage CEO calendar, meetings, scheduling, and priorities. Prepare correspondence, reports, presentations, agendas, and meeting materials in collaboration and direction of the CEO. Coordinate executive meetings, travel arrangements, and follow-up actions. Monitor deadlines, commitments, and strategic priorities. Maintain confidentiality and professional communication with internal and external stakeholders. Board & Governance Support Coordinate Board and committee meetings, schedules, logistics, and materials. Prepare and distribute Board packets, agendas, reports, and supporting documentation. Record, maintain, and distribute official meeting minutes. Maintain governance records, resolutions, policies, member information, and attendance records. Assist with Board orientation, governance documentation, and action-item tracking. Organizational Administration Maintain and organize policies, procedures, records, and administrative documentation. Support document control, version management, and process improvement initiatives. Prepare reports, spreadsheets, presentations, and project documentation. Conduct research and provide administrative support for executive initiatives and special projects. Employee Recognition & Events Coordinate employee recognition programs and appreciation activities. Assist with planning organizational events, celebrations, and engagement initiatives. Manage event logistics, vendors, supplies, communications, and scheduling. Qualifications Required Bachelor's degree in business administration, Management, Communications, Nonprofit Management, or related field. Experience may be considered in lieu of degree. Experience in administrative support, executive support, project coordination, or similar roles. Strong Microsoft Office proficiency (Outlook, Word, Excel, PowerPoint, Teams). Ability to manage multiple priorities, deadlines, and confidential information. Preferred Experience supporting executive leadership and/or Boards of Directors. Experience preparing Board materials, agendas, minutes, and executive correspondence. Experience coordinating events, employee recognition programs, or special projects. Healthcare, nonprofit, or mission-driven organization experience.
