Robert Half Executive Assistant Bedford, MA Apply Description We are looking for a detail-oriented and proactive Executive Assistant to provide high-level administrative support to senior leadership. This is a contract position based in Bedford, Massachusetts, where you'll play a pivotal role in managing schedules, coordinating travel, and ensuring smooth day-to-day operations. The ideal candidate thrives in a fast-paced environment and demonstrates exceptional organizational and communication skills.
Responsibilities:
- Manage and maintain executive calendars, ensuring accuracy and prioritization of meetings and appointments.
- Coordinate all aspects of travel arrangements, including booking flights, accommodations, and transportation.
- Prepare detailed itineraries and ensure executives have all necessary travel documentation.
- Organize and schedule executive meetings, including preparation of agendas and logistics.
- Assist in the creation of executive presentations and reports, ensuring clarity and professionalism.
- Serve as the primary point of contact for internal and external stakeholders on behalf of executives.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Monitor and manage incoming communications, prioritizing and responding as needed.
- Collaborate with other departments to ensure seamless administrative support for leadership.
- Execute additional administrative tasks as assigned to support organizational goals. Requirements
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong proficiency in calendar management and scheduling tools.
- Demonstrated ability to coordinate complex travel arrangements.
- Excellent organizational and multitasking skills with attention to detail.
- Proficiency in creating executive-level presentations and reports.
- Exceptional written and verbal communication skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Familiarity with office productivity software, such as Microsoft Office Suite.
