Executive Administrative Assistant - start
ASAP Pay:
$34-$36/hour
Location:
Chelmsford, MA Schedule:
Monday-Friday, 8:00 AM-5:00
PM Onsite:
3-4 days per week; candidates must be flexible and available Monday-Friday, as onsite days may change week to week
Assignment Length:
2-4 months, with potential for temp-to-hire
Key Responsibilities:
Manage complex, multi-time-zone calendars by prioritizing meetings, resolving conflicts, and aligning schedules with executive priorities Plan and support leadership meetings, including preparing agendas, coordinating logistics, distributing pre-reads, capturing notes, and tracking action items through completion Coordinate domestic travel arrangements and related logistics in accordance with company travel and expense policies Prepare, edit, and manage executive communications, presentations, and related materials with accuracy and professionalism Process, submit, and track expenses to ensure accuracy, timeliness, and policy compliance Serve as a primary administrative liaison by screening communications, routing inquiries, and ensuring timely information flow Maintain organized, version-controlled documents and shared resources using standard tools and templates Support workspace and resource logistics during organizational changes, space planning, onboarding, or office moves Partner cross-functionally with internal leaders, teams, and external stakeholders to coordinate schedules, information, and decision-making Exercise sound judgment and maintain strict confidentiality when handling sensitive information
Qualifications:
Prior Executive Administrative Assistant experience required Experience supporting C-level executives strongly preferred; CEO support is a plus Financial services or finance-related experience is a plus Must be highly polished, professional, and comfortable supporting senior leadership Strong calendar management and meeting coordination skills required Excellent written and verbal communication skills High attention to detail with strong organizational and follow-up skills Ability to work across time zones and manage shifting priorities Must be flexible with onsite schedule and available Monday-Friday as business needs change
