Job Description:
Our client, a DOD contractor, is hiring a full-time Executive Assistant for their Columbia, MD headquarters. The Executive Assistant plays a crucial role in supporting a Vice President, Senior Vice President, or other senior leaders by providing proactive administrative assistance and high-level organizational skills. This position serves as an informed extension of the executive's office, ensuring smooth operations and an efficient workflow.
Key Responsibilities:
Calendar Management:
Optimize complex daily and long-range calendars, anticipate conflicts, and coordinate resolutions.
Meeting Preparation:
Equip executives for meetings with clear objectives, agendas, and necessary materials.
Travel Coordination:
Manage domestic and international travel arrangements, including real-time adjustments.
Expense Reporting:
Prepare and track accurate expense reports in line with company policies.
Event Planning:
Organize logistics for leadership meetings, customer visits, and company events.
Communication:
Draft, proofread, and coordinate correspondence and presentations while maintaining confidentiality.
Information Management:
Maintain systems for tracking decisions and commitments, ensuring effective follow-through.
Liaison Role:
Serve as a professional contact for executives, customers, and board members.
Technology Utilization:
Use Microsoft 365 and other tools to enhance efficiency in executive support tasks.
Discretion and Judgment:
Handle sensitive information with exceptional discretion.
Cultural Alignment:
Support company culture, values, and compliance in all actions.
Qualifications:
Education:
Bachelor's degree preferred; equivalent experience considered.
Experience:
5+ years in executive support, ideally for senior leaders in complex environments.
Skills:
Proactive management of priorities and travel coordination. Independent problem-solving and systems improvement. Exceptional judgment in sensitive matters.
Knowledge, Skills & Abilities:
Strong organizational and time management skills. Excellent written and verbal communication, editing, and presentation skills. Professionalism, emotional intelligence, and integrity. Advanced proficiency in Microsoft Office Suite and collaboration tools. Ability to synthesize information and maintain a relationship-focused approach.
Work Environment:
Primarily office-based, with flexibility for events and travel. Frequent interaction with executives and stakeholders, requiring a detail-oriented approach. Capacity to manage competing priorities and sensitive information in a dynamic environment.
