Reporting to the president, we are seeking a Executive Assistant who will provide a high level of administrative support to the president and administrators including the handling of confidential and sensitive information. They will performs a full range of executive secretarial and related duties using considerable independent judgment in making decisions. What You'll Do (List is not intended to be inclusive of all duties which may be assigned): Performs a variety of administrative or executive support tasks that are highly confidential and sensitive. Reviews, proofreads, and edits documents prepared for the administrator's or executive's signature, some of which can be confidential and sensitive in nature. Compose letters and memoranda in response to inquiries. Acts as liaison between MNA and external hospital representatives in communicating important requests regarding Stroke Call Coverage, OUWB Neurology resident shadowing and EEG reading schedule. Screens incoming emails, phone calls, and correspondences. makes preliminary assessment of the importance of the materials and prioritizes accordingly; handles some matters personally and forwards appropriate materials to the administrator, executive, or staff. Triage incoming visitor requests to speak with the President, determines which are priority matters, and alerts the administrator or executive accordingly. Schedules in person, virtual and phone meetings for president via Microsoft Outlook using virtual meeting platforms as Teams and Zoom. Prepare agenda, schedule speakers, and collect materials for monthly Physician Assistant meetings. Track minutes and keep records of proceedings. Updates administrator or executive on status of issues before scheduled meetings.Travel:
Professional & Personal:
Coordinate travel, lodging, transportation and registration for professional conferences. (•Arranging personal travel for vacations may be requested at times) Send transcription requests to transcription service involving technical and confidential matters from the administrator or executive. Establishes and maintains various filing and records management systems. Accepting orders while observing OSHA standards. Maintains a working knowledge of applicable Federal, State and Local laws and regulations, the Corporate Compliance Program, Code of Ethics, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior. Must maintain knowledge of current MNA policies and procedures and follow them regularly. Monitoring and initiating opportunities for Continuing Medical Education hours. Preparing Weekly Schedule reflecting the daily clinical staff schedule, Stroke Call/Hospital Rounding, and president's daily meetings. All other duties as assigned.What You'll Need:
MINIMUM EDUCATION
A High School Diploma or GED required (College preferred).LICENSURE / CERTIFICATIONS
Medical Assistant or Emergency Medical Technician (EMT) certification required. CurrentBCLS/CPR
certification required.MINIMUM WORK EXPERIENCE
Prior executive support experience required. Prior healthcare experience preferred.KNOWLEDGE/SKILLS/ABILITIES
Must have high level of interpersonal skills to handle sensitive and confidential situations. Maintains patient confidentiality. Position continually requires poise, patience, tact and diplomacy. Must be able to effectively multitask. Supports and conducts oneself in a manner consistent with customer service expectations. Experience with Microsoft Office 365. Experience with AdvancedMD a plus. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
