Relocation assistance or an allowance may be offered to the right candidate Position Overview We are seeking a highly organized, dependable, and professional Bilingual Executive Assistant and Bookkeeper to support a business owner with multiple businesses, real estate projects, and professional responsibilities. This is a multifaceted position combining executive-level administrative support, bookkeeping, project coordination, and basic human-resources responsibilities. The ideal candidate is proactive, trustworthy, detail-oriented, highly organised and comfortable communicating with vendors, attorneys, CPAs, lenders, contractors, employees, and other professionals. Professional fluency in both English and Arabic is required because this position will regularly involve communication with English- and Arabic-speaking business contacts and stakeholders. This is an on-site position, and relocation to Vancouver, Washington is required. Relocation assistance or a relocation allowance may be available for the right candidate. Primary ResponsibilitiesExecutive and Administrative Support Manage and organize the executive's email inboxes Prioritize messages and assist with drafting professional responses Manage calendars, meetings, appointments, deadlines, and reminders Coordinate schedules related to multiple business and real estate projects Communicate and follow up with vendors, contractors, attorneys, CPAs, lenders, and other professionals Track outstanding documents, commitments, deadlines, and action items Organize contracts, invoices, business records, and correspondence Assist with personal and business-related administrative responsibilities Maintain strict confidentiality regarding financial, legal, employee, and business matters Bookkeeping and Financial Support Manage day-to-day bookkeeping using QuickBooks Enter and properly categorize financial transactions Reconcile bank and credit-card accounts Manage invoices, bills, payments, receipts, and expense records Assist with accounts payable and accounts receivable Prepare organized financial information for the CPA and business owner Maintain accurate records for multiple businesses and projects Assist with payroll documentation and basic financial reporting Identify discrepancies, missing information, or overdue items and follow up appropriately Business Operations and Human Resources Support Communicate professionally with employees, applicants, vendors, and outside advisors Assist with employee onboarding and personnel documentation Maintain organized employee files and basic HR records Coordinate interviews, meetings, training, and staff-related tasks Help develop and maintain administrative procedures and systems Assist with special projects and changing business priorities Required Qualifications Professional fluency in both Arabic and English . Strong organizational and time-management skills Excellent attention to detail and accuracy Ability to manage multiple priorities and projects simultaneously Strong professional communication and follow-through Ability to work independently with limited supervision Proficiency with email, online calendars, Microsoft Office, and Google Workspace High level of discretion, integrity, professionalism, and confidentiality Willingness and ability to relocate to Vancouver, Washington Knowledge of and demonstrated ability to use AI and related tools efficiently for communication, research, organization, and productivity. Highly Preferred Qualifications Previous QuickBooks experience Bookkeeping , accounting support, or financial recordkeeping experience Experience as an executive assistant, bookkeeper, office manager, or administrative coordinator Experience communicating with attorneys, CPAs, banks, lenders, vendors, or contractors Basic knowledge of payroll and human-resources administration Experience supporting an executive with multiple businesses or complex projects Training and Professional Growth The right candidate can be trained in certain bookkeeping, administrative, project-management, and human-resources responsibilities. However, previous QuickBooks or bookkeeping experience is strongly preferred . The most important qualities are integrity, reliability, sound judgment, professional communication, strong organizational skills, and the ability to learn quickly.
