Responsibilities are performed in a professional non-partisan manner, while providing excellent customer service. This is an in-person position Monday-Friday from 9 AM - 5 PM
NATURE AND SCOPE
This position reports to the Facilities and Technical Services Director. The Executive Assistant must possess exemplary written and oral communication skills, organizational and office management skills, as well as extensive technology skills, including Microsoft Office. The individual should maintain the ability to exercise strong initiative and good judgment and work with limited supervision.
PRINCIPAL ACCOUNTABILITIES
Assisting Members, staff, and visitors as they enter the Facilities office. Answering telephones, receiving mail, and responding to emails in a timely manner. Managing the Mackinac Room schedule and events, as well communicating with leadership, multiple departments, and outside groups the schedule and details related to each reservation. Managing and updating the buildings conference room schedules, 16 rooms and checking in on the rooms throughout the day. Processing work orders and assigning to appropriate Facilities staff to complete them. Coordinates office management tasks for the Director and Facilities Team, such as project timelines, vendors on site, staff time, and other responsibilities to enhance productivity and communication. Composes announcements and memorandum for the Facility Operations department. Establishes and maintains various filing and records management systems. Other duties as assigned.
Required Education and Experience Minimum Qualifications:
A qualified applicant should possess a strong work ethic with 5+ years of experience in office management.
