Provide administrative support and problem-solving assistance to the vice president and/or division president. Minimum Highly organized and proficient at multi-tasking Proven ability to work in a fast-paced, high change environment Proven ability to maintain confidentiality of files, conversations and documents Strong oral and written communication skills 3 years of administrative experience Ability to maintain effectiveness when experiencing major changes in work tasks or the work environment, adjusting effectively to work within new work structures, processes, requirements, or cultures Proficient in Excel, Word, Lotus Notes, and Power Point with the ability to learn new computer skills Self-motivated, able to organize, prioritize, plan and meet deadlines Must be professional, dependable, possess positive attitude, good judgment, and be able to gain the support of others to get the job done Desired Knowledge of corporate policies and procedures, organizational levels and reporting relationships ASP experience within other departments Coordinate routine matters, meeting, and travel Provide administrative support to Leadership team Access confidential and sensitive information Patience, discretion, and good judgment are required in setting priorities, answering or directing correspondence, and in coordinator various meetings and conference calls Provide administrative support and problem-solving assistance to other Administrative Support Personnel Position maintains numerous daily, quarterly and annual reports as well as maintains records under various contracts Assist in the coordination of division activities as needed by the executive Authorize payment of departmental invoices and reconciles period department financial statement Develop a team concept with the executive in order to provide, as an extension of the executive, the leadership and direction necessary to exemplify the philosophy of that division office Ensure accurate, efficient processing and disposition of written correspondence, as well as verbal communications, directed to the executive their staff Ability to work cooperatively in high paced and sometimes stressful environment Ability to manage conflict in a reasonable, nonconfrontational and cooperative manner Ability to act with honesty and integrity regarding customer and business information Ability to follow directions and seek assistance when necessary to resolve customer and business issues Provide support and assistance through direct interaction with minors, individuals with special needs, and/or older adults Must be able to perform the essential functions of this position with or without reasonable accommodation
