Position Overview Victory Lane Quick Oil Change is seeking an exceptional Executive Assistant to serve as a trusted partner to the CEO. This is more than a traditional administrative role. We're looking for someone who can anticipate needs, manage competing priorities, protect executive time, and bring organization and follow-through to a fast-moving business. The ideal candidate is proactive, highly organized, detail-oriented, and exceptionally trustworthy. This individual will work closely with leadership to ensure priorities are executed, communication flows effectively, and key initiatives stay on track. This position reports directly to the CEO. Who We're Looking For This role is best suited for an experienced Executive Assistant who genuinely enjoys supporting leadership and helping others succeed. We are seeking someone who views the Executive Assistant profession as a long-term career, not a steppingstone to another position. The ideal candidate takes pride in being the person behind the scenes who keeps things organized, solves problems, and helps leadership operate at their best. Success in this role requires excellent judgment, discretion, professionalism, and the ability to stay several steps ahead. Key Responsibilities Executive Support Manage executive calendars, scheduling, and meeting coordination Prioritize and protect executive time Coordinate travel, itineraries, and logistics Prepare executives for meetings and commitments Track action items and follow-up responsibilities Executive Communications Assist in managing executive email inboxes Draft and prepare professional correspondence Identify priorities and ensure timely follow-through Serve as a liaison between leadership and internal and external stakeholders Project & Administrative Support Coordinate special projects and strategic initiatives Track deadlines, deliverables, and key priorities Organize reports, presentations, and supporting materials Help ensure important tasks and commitments do not fall through the cracks Confidential Matters Handle sensitive and confidential information with discretion Exercise sound judgment in a variety of situations Maintain professionalism and confidentiality at all times Systems & Technology Identify opportunities to improve organization and efficiency Leverage technology, including AI tools, to streamline workflows Maintain proficiency with Microsoft 365 applications including Outlook, Teams, Word, Excel, and PowerPoint Qualifications Required 5+ years of Executive Assistant experience supporting senior leaders or executives Exceptional organizational and time-management skills Strong written and verbal communication abilities Advanced proficiency with Microsoft Outlook and calendar management Strong attention to detail and follow-through Ability to manage multiple priorities with minimal supervision Professional judgment and discretion Preferred Experience supporting a CEO, President, Founder, or Executive Team Experience working in a fast-paced, entrepreneurial environment Experience coordinating complex projects and priorities What Sets the Right Candidate Apart Proactive and anticipates needs before being asked Highly organized and detail-oriented Strong follow-through and accountability Calm under pressure and adaptable to changing priorities Professional and confident in working with people at all levels Tech-savvy and eager to improve processes Trustworthy and capable of handling confidential information Seeking a long-term opportunity Why Join Victory Lane? Pay:
$50,000.00 - $70,000.00 per year
