The Executive Assistant to the Superintendent serves as a proactive partner and central communications hub for the Superintendent's Office. This role requires a high degree of independent judgment, political acumen, and exceptional organizational skills. Serving as both a "gatekeeper and gateway," the Executive Assistant manages complex, confidential administrative operations, coordinates relations with the District Board of Education, ensures compliance with state regulations, and liaises with diverse internal and external stakeholders. Primary Themes and Responsibilities 1.Executive Support & Proactive Office Management Strategic Partnership:
Act as a proactive partner to the Superintendent by anticipating professional and organizational needs, prioritizing tasks, and relieving the Superintendent of routine administrative details.Complex Scheduling:
Manage the Superintendent's calendar; coordinate appointments, administrative site visits, and conference/travel arrangements for both the Superintendent and the School Board.Office Operations:
Oversee day-to-day operations of the central office, including periodic support for Human Resources and Finance Departments. Approve room use requests for the Board Room and conference rooms, provide backup for district office phones and deliveries, and maintain the District Leadership Team (DLT) Agendas, Meeting Minutes, Planning Documents, and Communications.Financial & Administrative Tasks:
Process annual Board of School Administrators (BOSA) fee payments online for all district administrators; prepare and process applicable budget documents; draft and edit highly confidential correspondence, reports, and presentations. 2. Governance & Board of Education Relations Clerk of theBoard:
Act as the designated School Board Clerk and serve as Election Clerk for all school board and levy elections.Meeting Logistics & Compliance:
Manage the complete lifecycle of Board Meetings. Prepare and release agendas/packets prior to meetings, post public notices, and ensure compliance with Open Meeting laws.Documentation & Legal Action:
Attend Board meetings to record official proceedings. Draft, finalize, and distribute minutes. Process post-meeting legalities, including obtaining signatures, returning contracts to appropriate staff, and sending legal notices to the official newspaper.Policy Management:
Serve as the custodian of the district policy manual. Facilitate the policy revision process (creating redlines, tracking two readings), update the Table of Contents, archive old policies, and maintain the digital policy manual on the district website.Meeting Coordination:
Create and manage annual schedules and invitations for a variety of critical groups, including but not limited to the Executive Cabinet, Quality Steering Committee (QSC), Safety & Security, Superintendent's Advisory Committee, School Board, and union/advisory meetings. 3.Communications & Stakeholder Engagement Public Liaison:
Receive and strategically screen calls and visitors. Use high emotional intelligence to resolve concerns from parents and community members, routing them to appropriate staff or the Superintendent as needed.Event Management:
Co-Leadership and coordination of major district stakeholder events and recognition programs, including but not limited to the School Board/Legislative Breakfast, Employee Recognition, Centennial Hall of Fame, High School STRIVE, and other district meetings as assigned.Information Management:
In conjunction with the Executive Cabinet, manage and respond to public records/FOIA requests in accordance with legal requirements and district procedures.District Communications :
Collaborate with Communications staff to draft district-wide communications on behalf of the Superintendent. 4.District Regulatory Compliance & Security Licensure Oversight:
Enter and approve continuing education/clock hours on the PELSB website for administrator license renewals (both teaching and administrative). Data Systems Authority (IOWA): Serve as the district's Identified Official with Authority (IOWA) for the Minnesota Department of Education (MDE) ID Management. Annually review and authorize staff access rights to secure MDE systems.State Reporting:
Ensure timely submission of key state data, including the annual MDE District and School Site Verification and the annual MDE Disciplinary Incident Report, by July 1.Emergency Management:
Actively participate in Safety & Security meetings. Serve a vital operational role as the District Communications Center Lead during crisis reunification events. Technology Proficiency & Systems Management To manage a district of this size effectively, the Executive Assistant must demonstrate advanced proficiency in modern digital workflows and cross-platform integrations: Microsoft 365 &Google Workspace:
Expert-level utilization of both ecosystems. Ability to seamlessly use Microsoft Word (redlining/tracking changes for policy), Excel (financial/data tracking), Outlook (complex calendaring), alongside Google Docs, Sheets, and Drive for collaborative, real-time document sharing with school sites. Compile and prepare presentations, reports, and statistical data as directed.Board & Web Platforms:
Proficiency in updating and maintaining website content (School Board pages, policies) via the district's CMS, and utilizing specialized web portals (MDE, PELSB, Schoology).Virtual & Hybrid Meeting Technologies:
Expertise in setting up and troubleshooting Zoom, Microsoft Teams, or Google Meet for remote or hybrid board and committee meetings. Other Duties as Assigned by theSuperintendent Core Competencies & Qualifications Experience:
Minimum of 57 years of progressive experience in a high-level executive assistant or office management role, preferably within a K-12 public school district, higher education, or municipal agency.Confidentiality & Discretion:
Demonstrated ability to handle highly sensitive personnel, student, and legal matters with absolute discretion and integrity.Political Acumen:
Strong interpersonal skills to foster trusting working relationships with the Board of Education, union leadership, rightsholders, parents, and community members.Independent Judgment:
Ability to strategically assess situations to determine priority, urgency, and risks, making objective decisions consistent with district goals when the Superintendent is unavailable.Agility & Continuous Improvement:
