About Loftness Loftness Specialized Equipment is a 100% employee-owned manufacturer that has been designing and manufacturing high-quality agricultural and vegetation management equipment for over 70 years. Our product lines include vegetation management equipment, crop shredders, grain bagging systems, and other specialized solutions used by professionals across North America. Position Summary The Executive Assistant provides high-level administrative and organizational support to the Chief Executive Officer (CEO) and Chief Operating Officer (COO). The primary purpose of this role is to help both executives manage their schedules, priorities, meetings, communications, travel, and follow-up so they can remain focused on leading the business. The position serves as a trusted point of coordination between the executives and employees, customers, dealers, vendors, and other business contacts and requires sound judgment, discretion, responsiveness, and exceptional organization. In addition to executive support, this position handles selected office administration responsibilities that help keep the corporate office organized and operating effectively. Executive support remains the primary responsibility of the position. Essential Duties & Responsibilities
  • Manage and coordinate the CEO and COO calendars, including meetings, appointments, commitments, and schedule changes.
  • Coordinate meetings by scheduling participants, reserving meeting space, preparing agendas and materials, and ensuring the executives have the information needed in advance.
  • Attend selected leadership or company meetings, record minutes and action items, and assist with follow-up as requested.
  • Coordinate business travel for the CEO and COO, including air, hotel, ground transportation, itineraries, and related schedule details.
  • Assist with executive correspondence, presentations, reports, documents, expense information, and other administrative needs.
  • Monitor and help organize incoming requests, communications, and scheduling matters; route items appropriately and help ensure timely follow-up.
  • Maintain executive files, records, shared folders, contact information, and other administrative materials in an organized and confidential manner.
  • Track selected commitments, action items, deadlines, and follow-up items for the CEO and COO and provide reminders as appropriate.
  • Serve as a professional point of contact for employees and outside parties seeking time, information, or follow-up from the CEO or COO.
  • Handle sensitive business, personnel, financial, and strategic information with a high degree of confidentiality and discretion.
  • Anticipate administrative needs and proactively address scheduling conflicts, missing information, meeting preparation, and other issues that could affect executive effectiveness. Office Administration Responsibilities
  • Coordinate day-to-day administrative needs of the corporate office, including office supplies, common-area needs, and selected office services.
  • Assist with coordination of visitors, executive meetings, company meetings, and occasional employee or company events.
  • Coordinate with outside service providers for routine office needs when requested and route technology issues to the appropriate internal or external IT resource.
  • Provide limited administrative support for company-wide communications and special projects at the direction of the CEO or COO.
  • Assist other departments with administrative coordination when needed, while maintaining executive support as the position's first priority. Required Skills & Abilities
  • Exceptional organization, attention to detail, and ability to manage multiple priorities and changing schedules.
  • Strong written and verbal communication skills with a professional, approachable communication style.
  • High level of discretion, judgment, integrity, and confidentiality.
  • Ability to anticipate needs, identify what requires executive attention, and follow tasks through to completion.
  • Ability to work independently, take initiative, and adjust priorities with limited direction.
  • Strong interpersonal skills and the ability to work effectively with employees at all levels as well as customers, dealers, vendors, and other outside contacts.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and related business applications.
  • Comfort working in a fast-paced manufacturing environment where priorities can change quickly. Education & Experience
  • High school diploma or equivalent required; associate or bachelor's degree in business, administration, or a related field preferred.
  • Three to five years of executive assistant, senior administrative, office coordination, or comparable professional experience preferred.
  • Experience directly supporting senior executives or company leadership strongly preferred. Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 20 pounds occasionally.

The successful candidate will be comfortable operating behind the scenes, keeping executives organized, anticipating what needs to happen next, and ensuring important details and commitments do not fall through the cracks.
Pay:
$65,000.00 - $75,000.00 per year
