Join our Restructuring team as an Executive Assistant located in our Minneapolis office. We are seeking a highly skilled professional who thrives in a fast-paced, deadline-driven environment. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building.
Position Summary:
The Executive Assistant provides high-level administrative and operational support to the Managing Shareholder and Business Director. This role serves as a trusted point of contact for internal and external clients, helping to facilitate communication, coordinate priorities, and ensure matters move forward efficiently. The ideal candidate is highly organized, professional, and discreet, with sound judgment, strong attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment with minimal supervision. Strong interpersonal skills and executive presence are essential.
Key Responsibilities:
Provides high-level administrative and project support to the Managing Shareholder, including tracking deadlines, monitoring deliverables, coordinating follow-up, and supporting special projects Coordinates client engagement, intake, and conflicts processes in accordance with firm procedures Assists with business development initiatives, filings, and other practice support needs Communicates with clients regarding matter coordination, billing and collections, and business development support Serves as the primary point of contact for the Restructuring Practice Group, facilitating communication and daily operations among attorneys, paralegals, staff, clients, and other stakeholders Manages calendars, schedule meetings and appointments, and coordinate email and telephone communications Arranges complex domestic and international travel, including itineraries, logistics, and related documentation Maintains client files, contact lists, matter information, and related records Prepares, edits, proofreads, and finalizes correspondence, documents, presentations, and other written materials Reviews, prioritizes, routes, and responds to correspondence and incoming communications, exercising judgment and discretion Processes expense reimbursements and high-volume expense reports accurately and in a timely manner Supports client billing, collections, time entry, and related administrative processes Communicates regularly with clients, opposing counsel, courts, and internal teams to coordinate matters and support client service
Qualifications:
Skills & Competencies Exceptional organizational skills, attention to detail, and ability to manage competing priorities in a fast-paced environment Professional judgment, discretion, and ability to maintain confidential information Proactive, resourceful, and solutions-oriented approach to work Strong interpersonal skills and ability to collaborate effectively with attorneys, staff, clients, and external contacts Excellent written and verbal communication skills Ability to work independently, anticipate needs, and follow through on assignments with minimal supervision Flexibility to respond to time-sensitive matters outside normal business hours, as needed Education & Prior Experience Minimum of 5-8 years of experience providing administrative or executive-level support in a professional service, corporate, or legal environment Prior law firm experience and experience supporting a practice group, senior attorney, or executive is highly preferred Bachelor's degree or equivalent combination of education and experience preferred Technology Proficiency with Microsoft Office Suite, document management systems, billing/time-entry platforms, and other office technologies Understanding of AI capabilities, limitations, and responsible use in a professional environment. Familiarity with, or willingness to learn, firm-approved AI tools (e.g., Copilot, ChatGPT, or similar platforms) to support daily workflow and/or improve work quality.
Physical Requirements:
While performing the duties of this job, the employee is occasionally required to move from workstation or desk throughout the work area to work independently or with a team to meet with colleagues or supervisor and retrieve work assignments. This position may also be sedentary and require the employee to sit for extended periods of time. Requires manual dexterity to use a phone, enter data into a computer, handle objects, and use office equipment. The expected pay range for this position is: $50.58 to $54.04 per hour Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law. Full time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short term disability, long term disability, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401K, vacation, sick time, and an employee assistance program.
