POSITION OBJECTIVE
: The Executive Assistant provides high-level administrative and executive support to the President & CEO, helping ensure the CEO's time, priorities, communications, and commitments are effectively managed. The position anticipates needs, supports executive preparation and follow-through, and serves as a trusted point of coordination for internal and external stakeholders. The Executive Assistant provides administrative coordination to the Board of Directors and Board committees, as needed. This role also provides support to the Executive Team around shared priorities, meetings, and organizational planning. Success in this role requires exceptional organization, initiative, sound judgment, discretion, and the ability to manage sensitive information and competing priorities in a fast-paced environment.
POSITION RESPONSIBILITIES
Executive Support to the President & CEO Manage the President & CEO's calendar and schedule, independently prioritizing meetings, appointments, events, and other commitments while anticipating needs and resolving competing priorities. Manage and appropriately prioritize access to the President & CEO, responding to or routing inquiries from internal and external stakeholders and ensuring timely follow-up. Prepare the President & CEO for meetings and external engagements by coordinating agendas, briefing materials, presentations, reports, and other supporting information. Draft and prepare correspondence, presentations, talking points, reports, and other executive-level communications as needed. Track key commitments, decisions, deadlines, and follow-up items on behalf of the President & CEO and coordinate related travel, registrations, expenses, and logistics as needed. Handle sensitive and confidential executive, personnel, Board, legal, and organizational matters with a high degree of discretion. Board of Directors Coordination Coordinate meetings of the Board of Directors, including scheduling, meeting logistics, preparation and distribution of agendas and materials, maintenance of the Board portal, and preparation of draft meeting minutes. Provide administrative support to Board committees as needed, including scheduling, meeting materials, recordkeeping, and other meeting support and in coordination with committee chairs. Maintain accurate and organized Board and governance records, including approved minutes, resolutions, policies, committee rosters, meeting calendars, and other official documents.
•Other duties as assigned. Executive Team & Organizational Support Coordinate Executive Team meetings, retreats, and other leadership activities, including scheduling, preparation, documentation, and follow-up on key decisions and priorities. Support organizational planning and execution by maintaining tools and systems that help track strategic priorities, commitments, and progress. Coordinate executive-level and organization-wide calendar, meetings, events, and special projects as assigned.
EDUCATION AND EXPERIENCE
:
Required:
Associate degree or equivalent combination of education and relevant experience, with at least three years of progressively responsible administrative or executive support experience. Excellent written and verbal communication skills, including preparation of professional correspondence, meeting materials, presentations, and other executive-level communications. Strong organizational skills, exceptional attention to detail, and a proactive approach to anticipating needs and following through on commitments. Strong interpersonal skills and the ability to work professionally and collaboratively with Board members, executive leaders, staff, community partners, donors, and other stakeholders. High level of proficiency with Microsoft Office and the ability to quickly learn and troubleshoot office technologies. Preferred Bachelor's degree in business administration, communications, nonprofit management, or a related field. Prior support of a President, CEO, senior executive, or executive leadership team. Familiarity with nonprofit Board governance, including Board and committee support. Background in meeting minutes, governance records, organizational planning, project management, or executive-level tracking systems.
