POSITION SUMMARY
The Executive Assistant to the CEO serves as a trusted partner to North Star's CEO, helping maximize his time, effectiveness, and impact across the organization. This highly visible role requires someone who is proactive, organized, resourceful, and comfortable working in a fast-paced environment while managing competing priorities, anticipating needs, and representing the CEO and North Star with professionalism and discretion.
ADMINISTRATION TASKS
Own and strategically manage the CEO's calendar, balancing internal priorities, external commitments, meetings, travel, and focused work time. Anticipate upcoming needs and ensure the CEO is prepared for meetings, presentations, events, and key initiatives. Coordinate complex travel arrangements, including flights, accommodations, transportation, itineraries, and schedule changes. Serve as a trusted point of contact between the CEO and internal leaders, team members, advisors, clients, and external partners. Track priorities, commitments, action items, and follow-ups to ensure important initiatives continue moving forward. Prepare correspondence, presentations, meeting materials, agendas, and other executive-level communications. Coordinate and support leadership meetings, corporate events, speaking engagements, and special initiatives. Partner closely with other Executive Assistants and senior leaders to create strong communication and coordination across the organization. Handle sensitive and confidential information with exceptional judgment and discretion. Identify opportunities to improve organization, communication, processes, and efficiencies within the executive office. Leverage technology and AI tools to improve productivity, organization, preparation, and follow-through. Take ownership of special projects and evolving priorities as the needs of the CEO and organization change. Minimum requirements in terms of educational background, work experience, licenses /certifications or other knowledge, skills and abilities. Bachelor's degree or equivalent combination of education and relevant experience preferred Maintains confidentiality of information High attention to detail Excellent computer skills, including Microsoft Suite, and utilization of AI Excellent organizational and communication skills Ability to coordinate multiple projects while ensuring timely and accurate deliverables, with effective problem solving and resolution skills Strong prioritization, organizational, project planning, management, and multi-tasking skills Excellent listening, verbal and written communication skills Experience in financial services industry is a plus, but not required Experience supporting a CEO or executive that serves on numerous boards, preferred but not required This description covers the primary and principal duties of the job.
