Job Description

Position Summary The part time Executive Assistant provides administrative support to company owners. This position manages calendars, coordinates meetings and travel, supports company communications and events, maintains organized records, and helps keep day-to-day executive priorities on track. Essential Duties and Responsibilities Manage calendars, including scheduling and coordinating meetings, appointments, and other commitments. Coordinate meeting details, including invitations, conference rooms, materials, reminders, and schedule changes. Book business travel for company owners, including flights, hotels, ground transportation, and travel itineraries. Prepare and organize correspondence, documents, presentations, spreadsheets, and other materials as requested. Create and coordinate the company newsletter, including gathering updates and information from departments and managing distribution. Plan and coordinate company events, employee activities, meetings, and other special events. Assist with meeting preparation, notes, and follow-up items as requested by the executive team. Track deadlines, action items, outstanding requests, and other follow-up items for members of the executive team. Maintain confidential and sensitive company, employee, and executive information with discretion. Communicate professionally with employees, customers, vendors, and outside contacts on behalf of leadership. Maintain organized electronic files, records, and executive documents and assist with special administrative projects. Perform other related duties as assigned. Qualifications Strong organizational skills and attention to detail. Good written and verbal communication skills. Strong computer literacy and comfort learning new systems and technology. Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint. Experience managing calendars, scheduling meetings, and coordinating travel preferred. Ability to manage multiple priorities, changing schedules, deadlines, and follow-up items. Professional judgment and ability to maintain confidentiality when handling sensitive information. Previous executive assistant, administrative, office, or similar support experience preferred.
