This person must be highly organized, dependable, proactive, and able to manage multiple priorities with complete discretion and confidentiality. Key Responsibilities Manage the CEO's calendar, appointments, meetings, and daily schedule. Coordinate business and personal travel, including flights, hotels, transportation, and itineraries. Organize and prioritize emails, correspondence, and other communications. Handle confidential information with discretion and professionalism while supporting internal communication efforts across departments Organize and assist with company events, meetings, and special projects to ensure seamless execution Prepare, complete, and submit forms, applications, and other documents. Maintain a list of open items, decisions, and commitments requiring the CEO's attention. Track action items from meetings and ensure proper follow-up. Follow up with executives, employees, vendors, attorneys, and outside contacts on behalf of the CEO. Coordinate communication and meetings between the CEO and company executives. Organize documents requiring the CEO's review, approval, or signature. Maintain organized electronic and physical records. Assist with personal appointments, reservations, purchases, household matters, and other personal logistics. Help coordinate special projects and ensure deadlines are met. Anticipate the CEO's needs and address issues before they require his attention. Protect confidential business, financial, employee, and personal information. Remain accessible and responsive when urgent matters arise. Handle additional business or personal responsibilities assigned by the CEO. Qualifications Strong organizational and time-management skills. Excellent written and verbal communication. Ability to prioritize and manage multiple responsibilities. Strong attention to detail and consistent follow-through. Professional judgment and complete discretion. Comfortable communicating with executives, employees, business partners, and personal contacts. Proactive, resourceful, and able to work independently. Flexible and willing to assist with both business and personal matters. Requirements Proven experience as an executive assistant or personal assistant supporting C-suite executives in a fast-paced environment Strong organizational skills with the ability to prioritize tasks effectively and manage multiple projects simultaneously Excellent written and verbal communication skills along with proficient typing speed for transcription and documentation tasks Technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), video conferencing software (e.g., Zoom or Teams), DocuSign for electronic signatures, and familiarity with QuickBooks for bookkeeping Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times Experience in event planning, project coordination, office management, and customer service is highly desirable Ability to work independently with minimal supervision while collaborating effectively within a team setting
