Job Description
A wellness company is seeking a dynamic Executive Assistant to integrate executive support, legal compliance coordination, and project management to drive structure and efficiency in a high-growth start-up environment. This position ensures seamless execution of priorities, maintains rigorous compliance tracking, and upholds documentation accuracy. The ideal candidate is highly organized, capable of managing multiple priorities, and thrives in a fast-paced, evolving setting, bringing a proactive, results-driven approach to project execution.
Responsibilities include:
Executive Support- Manage shifting priorities, calendar, and communications for the CRO
- Prepare documents, briefs, and follow-ups to keep meetings and deals moving
- Act as a central point of coordination across internal and external partners Legal & Compliance Coordination
- Review and proof contracts, agreements, and documents before they are sent
- Track and organize all legal and compliance-related materials
- Support state-by-state compliance tracking, including where products can and cannot be sold
- Maintain registry of evolving legislation impacting product markets
- Assist with label compliance and regulatory requirements
- Partner with external legal counsel when needed, while reducing dependency through strong internal oversight Project Management & Execution
- Take CRO priorities and turn them into structured, trackable projects
- Manage timelines, stakeholders, and deliverables across multiple initiatives
- Ensure nothing falls through the cracks in a fast-moving environment
- Build systems and workflows for compliance tracking and operational efficiency Operational Support
- Review bills and documentation for accuracy and alignment
- Jump into high priority needs as they arise
- Bring order, tracking, and follow-through to a founder-led environment
Qualifications:
- 5+ years of executive administrative assistant experience required.
- Prior legal and/or compliance experience preferred
- Proficient with MS Office, Google Suite, CRM Systems
- Adept at leveraging AI tools for research, tracking, and process improvement
- Possesses exceptional attention to detail and document accuracy
