Executive Assistant To The CEO Inox Solar Americas LLC Greenville, NC Job Details Full-time 1 day ago Qualifications Confidential information handling Microsoft Excel Microsoft Outlook Executive administrative support Employee relationship building English Microsoft Teams Video conferences (communication methods) Community relationship building Full Job Description Position Summary The Executive Assistant to the CEO provides high-level administrative and operational support to the CEO of a fast-growing solar module manufacturer. This role acts as a strategic partner and gatekeeper. It manages the CEO's time, communications, and priorities, and coordinates with senior leadership, the board, customers, and outside partners. The ideal candidate is highly organized, discreet, proactive, and comfortable in a fast-paced manufacturing setting with international stakeholders.
Key Responsibilities:
Calendar and schedule management Manage the CEO's complex calendar: set priorities, resolve conflicts, and coordinate across time zones. Schedule and prepare for executive meetings, board meetings, customer visits, and investor calls. Communication and correspondence Act as the main point of contact between the CEO and internal and external stakeholders. Screen and prioritize emails, calls, and requests, and draft replies for the CEO when appropriate. Draft, proofread, format letters, memos, presentations, and reports. Meeting and executive support Prepare agendas, briefing materials, and presentation decks for leadership and board meetings. Take meeting minutes, track action items, and follow up with department heads to make sure deadlines are met. Help prepare monthly and quarterly business reviews (production, sales, financial KPIs). Travel and event coordination Arrange detailed domestic and international travel, including flights, lodging, ground transportation, visas, and itineraries. Coordinate site tours, customer and VIP visits, company events, and trade show participation. Process expense reports and reconcile executive expenses. Project and operations support Manage special projects for the CEO, such as research, data collection, and cross-functional coordination. Work with HR, Finance, Supply Chain, and Operations on executive-level initiatives. Keep organized, confidential filing systems for executive documents and contracts. Confidentiality and relationship management Handle highly sensitive information (personnel, financial, strategic) with complete discretion. Build strong working relationships with the leadership team, board members, key customers, and government or community partners.
Qualifications Required:
Bachelor's degree in business administration, Communications, or a related field, or equivalent experience. 3-5+ years of experience as an executive assistant supporting C-level executives. Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Teams. Excellent written and verbal communication skills in English. Strong organization, time management, and multitasking skills, with close attention to detail. Proven ability to handle confidential information with discretion.
