Job Description

Position Overview Peaceful Waters Counseling & Wellness Center is seeking a highly organized, trustworthy, and proactive Executive Assistant to the President . This is a confidential and multifaceted support position designed to help the President stay organized, manage competing responsibilities, and keep both routine and unexpected tasks moving forward. This is not a traditional desk-only administrative role. Responsibilities may look different from week to week. Some days may involve email, scheduling, paperwork, and phone calls, while others may include organizing, running errands, preparing for an event, making a bank deposit, or helping tackle whatever has accumulated on the President's to-do list. The ideal candidate is someone who enjoys bringing order to chaos , notices what needs to be done without always being asked, and can be trusted with highly confidential information. Because this person will work directly with the President and may encounter sensitive business, financial, personnel, scheduling, client-related, and personal information, confidentiality and discretion are among the most important requirements of this position.
Responsibilities Responsibilities may include:
Managing and organizing emails and correspondence Assisting with calendars, appointments, meetings, and scheduling Coordinating meetings and communicating with staff, businesses, vendors, community partners, and other contacts Making professional phone calls and following up on outstanding matters Helping the President stay on top of deadlines, paperwork, and administrative responsibilities Completing filing, scanning, copying, document organization, and basic recordkeeping Creating simple organizational systems and processes to improve efficiency Keeping track of miscellaneous tasks and ensuring items do not fall through the cracks Running occasional business-related errands Making bank deposits Assisting with bill organization and routine administrative financial tasks Purchasing or picking up supplies and other needed items Assisting with event planning, preparation, purchasing, and coordination Organizing offices, paperwork, supplies, storage areas, and workspaces Performing occasional light tidying and organizational tasks needed to maintain functional work areas Assisting with occasional personal administrative tasks or errands for the President Researching information, obtaining quotes, scheduling services, or coordinating appointments as requested Assisting with last-minute or unexpected needs Completing other executive support responsibilities as assigned Because of the nature of the position, the individual hired must be comfortable with a role that is flexible and varied rather than highly repetitive or narrowly defined. Who We Are Looking For Previous executive assistant experience is not required . We are much more interested in finding someone with the right personality, judgment, work ethic, and organizational ability.

Exceptionally trustworthy and able to maintain strict confidentiality Extremely organized and detail-oriented Dependable and punctual Comfortable working independently Proactive rather than waiting to be told every next step Able to recognize what needs attention and take appropriate initiative Resourceful and comfortable figuring things out Able to create simple organizational systems quickly and efficiently Comfortable managing several small responsibilities at once Confident making professional phone calls Comfortable following up with people when something needs to be completed Professional in written and verbal communication Flexible when priorities or plans change Comfortable handling a wide variety of responsibilities Able to exercise sound judgment Able to distinguish between matters that can be handled independently and matters that should be brought to the President Willing to jump in and help wherever appropriate Qualifications No specific college degree, certification, or prior executive assistant experience is required.
Candidates should:
Possess strong organizational skills Communicate professionally by phone, email, and in person Be comfortable using email, calendars, basic office applications, and technology Have the ability to learn new systems quickly Maintain strict confidentiality Have reliable transportation and the ability to complete occasional local errands Be comfortable working with minimal supervision Be capable of managing multiple small projects and responsibilities simultaneously Experience in administrative support, office organization, customer service, event coordination, hospitality, or similar work may be helpful but is not required. Schedule This position is approximately 8-10 hours per week . The schedule will be coordinated directly with the President and may vary somewhat depending on weekly needs, appointments, events, and priorities. Because this role is intended to provide executive support throughout the week, some flexibility is important.
Compensation & Benefits Pay:
$14.00 per hour Although this is a limited-hours position, Peaceful Waters offers generous paid time off and retirement benefits.
Benefits include:
96 paid hours annually Approximately 40 hours are associated with designated paid holidays The remaining paid hours may be used in accordance with company PTO policies 401(k) retirement plan with a 4% employer match Additional details regarding paid time off, holidays, retirement eligibility, and company policies will be provided during the hiring and onboarding process. Confidentiality This position requires an unusually high degree of trust. The Executive Assistant may encounter confidential information involving the business, employees, finances, schedules, correspondence, clients, organizational decisions, and the President's personal affairs. The successful candidate must demonstrate exceptional discretion and maintain confidentiality both inside and outside the workplace. Information obtained through this position should never become casual conversation with coworkers, friends, family members, or others. The individual selected for this position will be expected to execute appropriate confidentiality agreements as a condition of employment. About This Role This position would be an excellent fit for someone who genuinely enjoys being helpful, checking things off a list, organizing, solving small problems, and making a very busy person's week run more smoothly. You do not need to come into the position already knowing how to do everything. We are looking for someone who is dependable, discreet, confident, organized, resourceful, and willing to figure things out. Pay:
From $14.00 per hour Expected hours: 8.0 - 10.0 per week
