Job Description

Bilingual Executive Assistant to the CEO - Proactive Problem Solver About the Role We are looking for a highly proactive, organized, and resourceful Executive Assistant to the CEO who can operate as a true right-hand partner. This is not a role for someone who simply waits for instructions, completes a task, and moves on. We are looking for someone who sees what needs to happen next, takes ownership, solves problems, follows through, and helps remove work from the CEO's plate. When given a problem, we do not want someone who simply reports the problem back. We want someone who investigates it, identifies possible solutions, takes the appropriate next steps, and comes back with recommendations.
The ideal person naturally thinks:
"What else needs to happen for this to actually get done?"
Instead of:
"I completed the task I was assigned." You will work closely with the CEO across daily operations, meetings, projects, communication, scheduling, follow-ups, research, and company priorities. Over time, you should develop a strong understanding of how the CEO operates, what is important, and what needs attention before being asked. What You'll Do You will help the CEO stay organized, focused, and effective by taking ownership of tasks and ensuring priorities actually move forward.
Responsibilities include:
Manage the CEO's calendar, meetings, appointments, reminders, and priorities Attend meetings when needed and take detailed, organized notes Turn meeting notes into clear action items, deadlines, and follow-ups Follow up with employees, vendors, partners, and other parties to make sure commitments are completed Track important projects and make sure deadlines are not forgotten Research problems and present possible solutions instead of simply escalating issues Handle tasks from beginning to end with minimal supervision Identify missing steps and complete them without needing to be told Prepare documents, reports, presentations, spreadsheets, and summaries Organize information so the CEO can make decisions quickly Draft emails, messages, and communications on behalf of the CEO Help coordinate projects across different departments Research vendors, services, opportunities, competitors, and business needs Handle confidential and sensitive information professionally Keep the CEO informed about important issues without overwhelming them with unnecessary details Anticipate upcoming needs, deadlines, meetings, and potential problems Create systems and processes that improve organization and efficiency Take ownership of miscellaneous business and executive projects as they arise The Type of Person We're Looking For We are looking for someone who is naturally proactive.
For example:
If you are asked to schedule a meeting and discover that one attendee is unavailable, you do not simply report that they are unavailable. You find alternative times and present the best options. If you are asked to research a service, you do not simply send five links. You compare the options, summarize the pros and cons, provide pricing, and recommend which one you believe is best. If someone has not responded to an important request, you do not wait indefinitely. You follow up, find another contact, or determine another way to move the project forward. If you notice something is falling behind, you bring attention to it and help create a plan to fix it.

What Success Looks Like You will be successful in this role if: The CEO has fewer things to personally manage Important tasks do not fall through the cracks Problems are brought to the CEO with potential solutions Meetings consistently result in clear action items and follow-through Projects move forward without the CEO constantly checking on them You learn the CEO's priorities and begin anticipating needs before being asked You become someone the CEO can trust to take ownership of important responsibilities Qualifications We need someone who is fluent in both
ENGLISH AND SPANISH
Previous experience as an Executive Assistant, Personal Assistant, Chief of Staff, Operations Coordinator, Project Coordinator, or similar role preferred Extremely organized and detail-oriented Strong written and verbal communication skills Excellent follow-through Strong problem-solving ability Comfortable working independently Able to prioritize multiple projects at the same time Comfortable communicating with executives, employees, vendors, and business partners Strong research skills Comfortable learning new software and technology Proficient with Google Workspace and/or Microsoft Office Able to handle confidential information with discretion Able to work in a fast-paced environment where priorities may change Most Important Qualities Experience matters, but mindset matters more.

Pay:
$17.00 - $20.00 per hour Expected hours: 40.0 per week
