Manage executive calendars, schedule meetings, and coordinate appointments with internal and external stakeholdersPrepare meeting agendas, materials, and minutes; ensure follow-up on action items and deliverablesHandle executive correspondence, emails, and communications with professionalism and discretionCoordinate travel arrangements, including flights, accommodations, and ground transportationOrganize and maintain filing systems, both digital and physical, ensuring easy retrieval of documentsPrepare presentations, reports, and other business documents using appropriate software and formatting standardsTrack and manage projects, deadlines, and deliverables on behalf of executive leadershipServe as a liaison between executives and internal/external contacts, managing relationships professionallyPerform general administrative duties including expense reporting, invoicing, and record-keepingAnticipate executive needs and proactively address potential issues before they ariseQualifications5+ years of experience in an executive assistant, administrative assistant, or similar support roleProficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management softwareExcellent organizational and time management skills with the ability to prioritize multiple tasks effectivelyStrong written and verbal communication skills with professional presentation abilitiesDemonstrated ability to maintain confidentiality and handle sensitive information with discretionExceptional attention to detail and accuracy in all work productsProficiency in scheduling and email management systemsAbility to work independently and as part of a collaborative teamProblem-solving skills and the ability to adapt to changing prioritiesProfessional demeanor and strong interpersonal skills•
