The Executive Assistant, Operations & Projects provides strategic, operational, and administrative support to senior leadership while independently managing cross-functional projects and initiatives. This role goes beyond traditional EA responsibilities and requires strong project management capabilities, business acumen, and hands-on experience leveraging AI tools to improve efficiency, decision-making, and execution. The ideal candidate is highly organized, proactive, discreet, and comfortable operating in a fast-paced, evolving environment while acting as a trusted partner to leadership.
Responsibilities:
Executive Support Serve as a trusted partner to the executive(s), managing complex calendars, meetings, travel, and communications Prepare agendas, presentations, briefing materials, reports, and executive-level correspondence Anticipate executive needs and proactively resolve issues before they arise Act as a liaison between the executive and internal/external stakeholders Handle sensitive and confidential information with discretion and sound judgment Project & Program Management Lead and manage cross-functional projects from intake through completion, including timelines, milestones, risks, and deliverables Coordinate with internal and external partners to ensure alignment and execution Track progress, dependencies, and action items; follow up to ensure accountability Develop project plans, dashboards, and status updates for leadership Support change management and process improvement initiatives AI & Process Enablement Leverage AI tools (e.g., ChatGPT, Copilot, EliseAI, workflow automation tools) to improve productivity, documentation, analysis, and decision support Use AI to draft communications, summarize meetings, create presentations, analyze data, and streamline recurring processes Identify opportunities to automate workflows, reduce manual work, and improve operational efficiency Partner with leaders to pilot and scale AI-enabled solutions across administrative and business processes Maintain awareness of emerging AI tools and best practices relevant to executive support and project management Operational & Business Support Create and maintain systems for tracking priorities, decisions, and follow-ups Support budgeting, forecasting, and vendor coordination as needed Assist with planning offsites, leadership meetings, and strategic initiatives Ensure deadlines are met and commitments are fulfilled
Qualifications:
Required Experience:
5+ years of experience as an Executive Assistant, Project Manager, Chief of Staff-type role Experience supporting C-suite or senior executives Familiarity with project management methodologies and tools (e.g., Asana, Monday.com, Smartsheet, Jira, or similar) Experience with workflow automation, data analysis, or AI-assisted reporting
