Type:

full-time Family Office with Hedge Fund / Global Investment arm seeks Executive Assistant to support the investment team and manage the office. The office is luxurious, well-mannered, upscale, efficient, and extremely well-organized. They need someone who understands the existing culture and who will keep it running seamlessly. In addition to office management, the Executive Assistant will be a direct report to the CIO and work in conjunction with the family Personal Assistant. There will also be an AI component, meaning the use of AI in ongoing tasks, which will be taught. You don't have to come in knowing AI in depth but you need to be open to using it and integrating AI into your workflow. Requirements

  • BA/BS from US college or equivalent
  • Minimum 3 years' Executive Assistant or Office Manager experience
  • MS Office including Excel, PowerPoint
  • Strong tech skills
  • Familiarity with AI platforms
  • Polished, professional presentation
  • Strong writing and verbal communications
  • High degree of organizational capabilities and ability to organize workspaces
  • Demonstrated ability to work independently with minimal oversight
  • Flexibility to assume new responsibilities as the office's needs evolve Responsibilities
  • Greet guests who come to the office
  • Manage calendars for four members of executive team
  • Support board and foundation logistics for two principals, including meetings, questionnaires, and RSVPs
  • Route documents and signatures for compliance packets, engagement letters, and vendor contracts
  • Reconcile expenses monthly with the outside finance team and handle payment follow-ups
  • Run the office: facilities, IT and phone vendors, insurance certificates, software administration, supplies
  • Serve as a point of contact for outside vendors, building management, and service providers
  • Cover simpler household requests for Personal Assistant when needed
  • Ad hoc projects and special requests
  • Maintain confidentiality across all principal, client, and business matters M-F 9am-5pm 100K-$120K/year + bonus, health insurance, 401k
