Job Description

Responsibilities include but are not limited to: Manage, prioritize, and maintain a busy and dynamic calendar of internal and external meetings, events, and appointments, both in person and online for the General Counsel; anticipate and arrange travel as needed. Maintain communication with the General Counsel to stay on top of changing priorities, and to ensure preparation and organization for all meetings and events. Proactively administer and monitor key Legal Department projects, some with cross-functional teams; update Legal team members on status and milestones as needed. Prepare and edit correspondence, reports, spreadsheets, agendas, presentations and other documents in appropriate formats. Maintain and organize legal files and confidential records. Handle sensitive information with the highest level of confidentiality and professionalism. Assist paralegals with contract lifecycle management and other Legal Department systems, including tracking deadlines and renewals. Support attorneys responsible for compliance and regulatory filings, including document preparation and submission logistics. Coordinate with internal departments and external counsel as needed. Serve as the Legal Department's administrative point of contact for internal and external stakeholders. Prepare expense reports, process invoices and monitor the budget for the legal team. Align with other executive assistants on company procedures, administrative processes, and best practices.
Required Skills:
Ability to work fast and accurately under pressure, always maintaining professional disposition. Impeccable organization and time management, with the resilience to adapt and juggle multiple priorities effectively. A proactive, resourceful and solution-oriented mindset, anticipating needs and taking initiative. High level of interpersonal skills and professionalism to be able to interact with all levels of executives, both internally and externally, as well as Board members. Strong project management skills. Excellent communication and customer service skills (both verbal and written). High proficiency in Microsoft Office Suite (including PowerPoint, Word, Excel, Outlook, and Teams); familiarity with document management systems. Excellent written and verbal communication skills. Strong organizational skills, judgement, discretion, and a proactive approach. High attention to detail and ability to manage multiple priorities independently. Familiarity with legal terminology and processes is a plus.
Required Experience:
High School Diploma or GED; associate's degree in office management or related field preferred. Minimum of 7 years of executive administrative experience in a corporate environment.
