Job Description
Overview We are seeking a highly organized, proactive, trustworthy, and resourceful Personal / Executive Assistant to provide comprehensive support to a busy business owner across both professional and personal responsibilities. This is a multifaceted position for someone who can seamlessly move between executive-level business support, personal assistance, family coordination, travel planning, and household management. The ideal candidate is exceptionally organized, anticipates needs before they arise, communicates professionally, handles confidential matters with discretion, and takes ownership of responsibilities from start to finish. This person will serve as a trusted right hand to the business owner and play an important role in keeping the business, household, family commitments, travel, and day-to-day responsibilities organized and running efficiently. Key Responsibilities Executive & Business Support Manage and maintain a complex business and personal calendar. Schedule meetings, appointments, calls, and events. Coordinate internal and external meetings with clients, vendors, employees, partners, and other contacts. Monitor and prioritize emails, correspondence, and follow-up items. Prepare documents, presentations, agendas, reports, and meeting materials. Track deadlines, projects, commitments, and outstanding action items. Coordinate with business vendors, service providers, professional advisors, and other contacts. Anticipate the business owner's needs and proactively address priorities. Handle confidential business and financial information with a high degree of discretion. Personal Assistance & Errands Manage personal appointments, reservations, and commitments. Coordinate personal schedules and activities. Handle local errands and pickups/drop-offs as needed. Purchase and organize personal items, gifts, supplies, and special occasion needs. Coordinate returns, deliveries, repairs, and service appointments. Research products, services, restaurants, activities, and other personal requests. Assist with event planning and special occasions. Maintain lists of personal priorities, reminders, and follow-up items. Take ownership of miscellaneous tasks that help make the business owner's day more efficient. Family Support Coordinate family schedules, appointments, activities, and commitments. Assist with school (High School & Collegae Age), extracurricular, medical, or other family-related scheduling as needed. Coordinate transportation and logistics for family activities when required. Help organize family events, celebrations, appointments, and travel. Communicate with schools, activity providers, caregivers, service providers, and other family-related contacts as appropriate. Assist with purchasing, gifts, supplies, and other family needs. Maintain discretion and professionalism when handling family-related information. Travel Management Plan and coordinate domestic and international business and personal travel. Research flights, hotels, transportation, restaurants, activities, and reservations. Create detailed travel itineraries and organize confirmations. Coordinate airport transportation and other ground transportation. Manage changes, cancellations, delays, and last-minute travel adjustments. Coordinate business meetings and personal commitments around travel schedules. Prepare travel documents, packing lists, reservations, and other necessary information. Monitor travel plans and proactively address potential issues before they become problems. Coordinate travel for family members or other individuals when needed. Household Management Coordinate household vendors, contractors, maintenance providers, cleaners, landscapers, and other service professionals. Schedule home repairs, maintenance, inspections, deliveries, and appointments. Monitor household projects and ensure work is completed properly and on schedule. Assist with household organization and inventory management. Coordinate grocery, household, and other necessary purchases. Manage deliveries, returns, and service appointments. Assist with seasonal household needs and special projects. Maintain organized records of household vendors, warranties, appointments, and important information. Ensure the business owner's household runs efficiently and smoothly. Calendar & Priority Management Maintain a comprehensive view of the business owner's professional and personal commitments. Balance business priorities with family and personal responsibilities. Provide reminders and proactively flag scheduling conflicts. Protect the business owner's time by appropriately prioritizing requests. Anticipate upcoming needs and prepare in advance. Follow up on outstanding commitments and ensure important tasks are completed. Adjust quickly when priorities change or unexpected situations arise. Qualifications & Experience 3+ years of experience as an Executive Assistant, Personal Assistant, Family Assistant, Office Manager, Household Manager, Chief of Staff, or similar position. Experience supporting a business owner, entrepreneur, executive, or high-net-worth individual is highly preferred. Exceptional organizational and time-management skills. Strong attention to detail. Excellent written and verbal communication skills. Strong judgment, discretion, and confidentiality. Ability to manage multiple priorities simultaneously. Comfortable working independently and taking initiative. Strong problem-solving and research skills. Excellent follow-through and accountability. Proficiency with Google Workspace, Microsoft Office, calendar management, and other productivity tools. Ability to coordinate effectively with vendors, contractors, employees, clients, family members, and other professionals. Valid driver's license and reliable transportation for local errands and transportation-related responsibilities. Takes pride in making the business owner's life more organized, efficient, and manageable. Schedule & Flexibility This position requires flexibility based on the business owner's schedule and needs. While there will be regular working hours, occasional early mornings, evenings, weekends, travel, or time-sensitive requests may be required. The successful candidate must be comfortable operating in an environment where priorities can change and where responsiveness and availability are important.Pay:
