The role serves as the operational backbone for the leadership team, requiring high energy, precision, multitasking, and familiarity with AI tools to optimize workflows. It is a paid position focused on administrative excellence, client communication, and modern tech integration.
Core Duties Autonomous Decision-Making:
Make critical day-to-day administrative choices to keep operations moving without constant executive oversight.
Proactive Problem-Solving:
Identify bottlenecks in startup workflows, troubleshoot operational challenges, and implement immediate solutions.
Calendar & Travel:
Manage complex executive calendars, schedule appointments, and coordinate travel logistics.
Tech Optimization:
Leverage AI tools to streamline administrative workflows, draft communications, or organize data.
Communication:
Handle multi-line phone systems and manage front-desk reception.
Documentation:
Prepare, proofread, and format files in Microsoft Office and Google Workspace.
Data & Records:
Execute data entry, maintain spreadsheets, and organize physical/digital filing systems.
Finance Support:
Track expenses, manage invoices, and assist with basic bookkeeping.
Office Operations:
Order office supplies and maintain a professional front-desk presence.
Required Experience & Skills Professional Background:
Proven experience in executive support, office administration, or customer service.
Startup Agility:
Ability to adapt quickly, take initiative, and thrive in an evolving startup ecosystem.
Tech & AI Literacy:
Strong proficiency in Microsoft Office and Google Workspace, along with direct familiarity with AI productivity software.
Critical Thinking:
Demonstrated ability to evaluate situations independently and make sound, rapid decisions under pressure.
Financial Tools:
Practical familiarity with QuickBooks or similar bookkeeping software.
System Operations:
Technical literacy with multi-line phones and standard office equipment.
Key Soft Skills:
Exceptional organization, strict prioritization, and high-quality proofreading.
Bonus Qualifications:
Bilingual communication skills and prior receptionist experience.
