Job Description
Description We are seeking a highly skilled Executive Assistant to provide direct support to senior leadership in a dynamic and detail-oriented environment. This role requires exceptional organizational abilities, strong communication skills, and a commitment to maintaining discretion and confidentiality. As a Contract to permanent position, it offers an opportunity to showcase your expertise while contributing to a service-oriented and client-facing workplace in Newark, New Jersey.
Responsibilities:
- Manage complex calendars, ensuring seamless scheduling and prioritization of executive appointments and meetings.
- Arrange and coordinate travel plans, including booking flights, accommodations, and transportation.
- Prepare and organize materials for executive meetings, ensuring all documentation is accurate and readily available.
- Serve as the primary point of contact for stakeholders, fostering positive relationships and addressing inquiries with a detail-oriented approach.
- Handle sensitive communications with utmost discretion, maintaining confidentiality at all times.
- Coordinate logistics for events and meetings, ensuring smooth execution and alignment with organizational standards.
- Monitor and manage deadlines, ensuring executives are well-prepared for upcoming commitments.
- Draft correspondence and reports on behalf of senior leadership, ensuring clarity and a detail-oriented approach.
- Assist in special projects as needed, contributing to the overall efficiency of the executive team. Requirements
- Minimum of 5 years of experience providing executive-level support, preferably to C-suite leaders.
- Proficiency in calendar management, including the ability to handle complex scheduling needs.
- Demonstrated expertise in arranging and coordinating travel plans for executives.
- Strong interpersonal skills with the ability to foster positive relationships with clients and stakeholders.
- Exceptional discretion and confidentiality in handling sensitive information.
- Outstanding organizational and time management abilities to juggle multiple priorities effectively.
- Excellent written and verbal communication skills, with attention to detail.
