This is not an entry-level admin position. You will be expected to think ahead, stay organized under pressure, and communicate confidently with clients and team members. More importantly you will be responsible for bringing structure, accountability, and follow-through to a fast-moving design and sales environment. If you need constant direction or prefer a task-based admin role, this will not be a fit. You'll work directly with our Director of Design, a highly experienced and creative leader with 35+ years in design-build construction. He is strong in vision, client relationships, and design execution. You are there to ensure organization, structure, and follow-through happen. This is a high-standard environment. Execution matters. Details matter. Nothing slips. What You'll Be Doing Daily Operations & Coordination
- Manage calendar, scheduling, and constantly shifting priorities
- Coordinate and confirm client appointments
- Communicate with clients daily
- Track proposals, follow-ups, and active opportunities Sales & Project Support
- Keep all active and in-progress jobs moving forward
- Drive follow-ups, next steps, and client communication
- Support the full sales cycle from lead to contract execution
- Assist with estimates, proposals, and job setup
- Coordinate and track change orders Design & Field Involvement
- Attend site visits, take field measurements, and support client meetings
- Assist with design development using software tools
- Prepare estimates with material take-offs and supporting visuals Organization & Accountability
- Always maintain organization across multiple active jobs
- Ensure nothing falls through the cracks
- Maintain accurate records in company systems
- Coordinate internally to keep projects moving
- Represent the company professionally with clients and team What We're Looking For You are not just supporting your driving structure and accountability.

- Strong Microsoft Office skills (Word, Excel, Outlook)
- Highly organized with strong attention to detail
- Ability to manage multiple priorities without dropping the ball
- Confident, professional communication (written and verbal)
- Strong follow-through—understands this role directly impacts revenue
- Self-starter who takes initiative and holds others accountable
- Strong problem-solving and decision-making ability
- Positive, professional attitude Preferred Background
- Education in Landscape Architecture, Horticulture, or related field
- Experience with design software (VizTerra, AutoCAD, SketchUp, Adobe, Revit, Photoshop, Land F/X) Big Plus
- Construction, landscaping, or design-build experience
- Sales or customer service background
- Experience with estimates, proposals, or project coordination
- Starting at $20+/hour (based on experience)
