Job Description:
Our client, a well-known financial services company, is seeking an Executive Assistant with experience supporting executives within the financial services industry. Key Responsibilities Manage calendars, scheduling priorities, and meeting coordination for the Head of Israel Investment Banking and other team members as needed Coordinate internal and external meetings involving clients, investors, colleagues, and senior executives across the United States, Israel, and other international locations Schedule meetings, conference calls, and video conferences across multiple time zones, with particular attention to coordination between New York and Israel Coordinate domestic and international travel, including flights, hotels, ground transportation, travel itineraries, and related logistics Support client meetings, conferences, roadshows, team events, and other Israel-related business activities Process expense reports and maintain administrative records, contact lists, and team materials Coordinate conference rooms, visitor registration, building access, catering, technology, and other meeting logistics Prepare, edit, organize, and distribute presentations, meeting materials, itineraries, and correspondence Assist with onboarding, offboarding, and other team administrative needs when required Coordinate closely with other Executive Assistants and internal departments to ensure seamless support and communication Anticipate needs, help manage scheduling and travel logistics, and proactively address administrative challenges as they arise Maintain the highest level of discretion when handling confidential client, transaction, and employee information Provide additional administrative and operational support to the Israel Investment Banking team as needed Qualifications Previous Executive Assistant experience is preferred, particularly within investment banking, financial services, professional services, or another fast-paced corporate environment Excellent organizational and time-management skills Strong attention to detail and the ability to manage multiple competing priorities Excellent written and verbal communication skills Ability to work independently, take initiative, anticipate needs, and exercise sound judgment Flexible, responsive, and comfortable adapting to changing priorities and occasional time-sensitive requests Strong interpersonal skills and a polished, professional, service-oriented approach Ability to communicate effectively and professionally across different cultures and time zones High level of discretion when handling sensitive and confidential information Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams Familiarity with Israeli business culture is an advantage Hebrew language proficiency is a plus
