We are seeking an organized, dependable Legal Assistant to support our real estate and estate planning practice. This position is well suited to someone who takes ownership of assigned work, follows through without repeated reminders, and communicates clearly with clients and colleagues. You will help move matters from intake through completion, maintain accurate files, and ensure that documents, deadlines, and follow-ups receive timely attention—all under attorney supervision. Responsibilities Keep matters moving:
Track deadlines, outstanding documents, and next steps. Follow up promptly with clients and third parties and keep the attorney informed of progress and issues requiring attention.
Support real estate transactions:
Assist with purchases, sales, refinances, and leases, including houses, condominiums, cooperatives, and commercial properties. Gather transaction information, coordinate with attorneys, lenders, title companies, brokers, and management, and help prepare closing materials.
Support estate planning matters:
Gather client information and assist with preparing wills, trusts, powers of attorney, health care proxies, and related documents using firm templates and attorney instructions. Coordinate signing appointments and document delivery.
Prepare accurate documents:
Draft routine correspondence, enter information carefully, and proofread names, dates, figures, formatting, and attachments before submitting work for attorney review.
Maintain organized files:
Keep MyCase records, calendars, task lists, correspondence, and electronic documents complete and current.
Provide responsive client service:
Handle routine inquiries professionally, explain administrative next steps, and refer legal questions to the attorney.
Support efficient teamwork:
Prepare concise status updates, bring routine questions to scheduled check-ins, and promptly flag urgent deadlines or problems. Identify missing information and suggest practical next steps. Assist with scheduling, phones, scanning, filing, and other office responsibilities as needed in a small firm. Qualifications Prior law office experience supporting real estate transactions or estate planning matters is required; experience in both is preferred. Ability to manage assigned tasks independently within established procedures and attorney direction, while recognizing when guidance is needed. Strong organizational skills, attention to detail, and dependable follow-through across multiple active matters. Clear, professional written and verbal communication, including a courteous and confident telephone manner. Proficiency in Microsoft Word, Outlook, and Excel, including document formatting, tracked changes, calendars, and basic spreadsheets. Experience with MyCase or comparable legal practice management software is preferred. Comfort working with PDFs, electronic signatures, and electronic document organization. Sound judgment, discretion, and respect for client confidentiality. Willingness to follow checklists, receive feedback, learn new processes, and contribute to improvements.
