Summary The Executive Assistant provides administrative and operational support to the Executive Director and contributes to the effective functioning of the NACS Leadership Team. This position requires excellent organizational, communication, and problem-solving skills, discretion in handling confidential information, and the ability to manage multiple priorities in a dynamic, mission-driven environment. Incumbent serves as a central point of coordination for the Executive Office- facilitating communication, managing schedules, supporting Board of Directors (BOD) activities, assisting with grants and reporting, and helping ensure alignment with NACS' mission, vision, and values. All efforts will be performed with understanding of and in accordance with Good Mind principles, while also adhering to the principles of Trauma Informed Care (TIC).
ESSENTIAL DUTIES AND RESPONSIBILITIES
Manage the Executive Director's calendar, meetings, travel arrangements, and correspondence. Screen, prioritize, and respond to communications on behalf of the Executive Director. Prepare briefing materials, presentations, and reports for internal and external meetings. Track and help coordinate special projects, deadlines, and action items across components. Maintain official records, governance documents, and contact lists. Serve as a liaison between the Executive Office and program, finance, and administrative teams. Support the flow of information and documents between NACS components and external partners. Assist in preparation of grant applications, reports, and proposals as needed. Provide administrative support for agency-wide initiatives, events, and community engagement efforts. Process expense reports, purchase requests, and invoices for the Executive Office. Support compliance with organization policies, procedures, and reporting requirements. Assist in planning (all logistics) and coordination of organizational meetings, retreats, and events. Attend meetings, compile, transcribe, and distribute minutes of meetings. Analyze memos, submissions, and reports to determine relevance and manage their routing accordingly.
EDUCATION, QUALIFICATIONS, SKILLS
Associate degree (Bachelor's preferred) in Business Administration, Communications, Public Administration, or related field. Minimum of 3 years' experience providing executive-level administrative support, preferably in a nonprofit or government setting. Work experience may replace some of the education requirements at the discretion of the Executive Director. Effective problem solving, organization, time management and conflict resolution. Excellent written and verbal communication skills. Strong attention to detail and organizational skills with the ability to prioritize multiple tasks. Interpersonal skills to work cooperatively and effectively with individuals, groups, and diverse populations.
Proficient computer skills:
ability to use Microsoft Office 365 and document management tools. Familiarity with and sensitivity toward local Native American communities. Ability to become certified in CPR & First Aid. Must be able to do medium lifting. Must be flexible to evening and weekend hours as needed. Must pass all background checks and pre-hire requirements including a clean and valid NYS driver's license and carry minimum auto liability coverage of $100k/$300k.
