Job Description

Position Overview:
This position provides comprehensive administrative, operational, and organizational support to the CEO and the company. You will manage daily communications, maintain office structure, support training operations, and assist with business development activities. Success in this role requires professionalism, reliability, strong attention to detail, and the ability to perform effectively during both quiet periods and fast‑paced, high‑volume workdays. This role requires working closely with the CEO, which includes daily communication, handling last‑minute tasks, and maintaining frequent availability for time‑sensitive updates at various hours due to the nature of our business operations.
Primary Responsibilities:
Administrative & Communication:
Manage a high volume of incoming calls and emails with accuracy and professionalism Make follow‑up calls as needed to support operations and client communication Accompany the CEO to business meetings to take notes and provide timely reminders or recommendations Maintain your assigned office and contribute to keeping our facility neat, clean, and organized
Training & Staffing Support:
Assist students with booking security guard classes Assist with interviews and candidate screening when required Once trained and certified, you will also be responsible for fingerprinting individuals who have scheduled appointments through our authorized fingerprinting partner
Operational Tasks:
Receive, organize, and reconcile timesheets for payroll and compliance Handle light billing tasks, primarily sending payment reminders Maintain uniform inventory, track usage, and order replacements as needed
Business Development Support:
Assist with sales and business development tasks
Schedule:
Monday:
9:00 AM•5:00 PM (8 hours)
Tuesday:
9:00 AM•5:00 PM (8 hours)
Wednesday:
9:00 AM•5:00 PM (8 hours)
Thursday:
9:00 AM•5:00 PM (8 hours)
Friday:
9:00 AM•3:00 PM (6 hours) Off on holidays (unpaid) You will also receive paid on‑call status for a total of 2 hours over the weekend, during which you may be required to handle urgent remote tasks or take a call from the CEO.
Requirements:
Must successfully complete three (2) weeks of paid training at a reduced hourly rate Must demonstrate professionalism, reliability, and strong organizational skills
