An Executive Assistant provides skilled administrative support for a company executive or professional staff at an organization. Schedules meetings, calls and travel, manages correspondence, handles outside information requests and staff communications; may assist with preparing presentations.

Direct Hire Key Responsibilities:
Review incoming and outgoing emails for the Director; identify priority items and route/delegate assignments to Estimators, Project Managers, and field personnel. Rigorously follow up with project teams to ensure all project deadlines, proposals, and milestones are met on schedule. Assist in preparing and organizing proposals, purchase orders, submittals, construction memos, and correspondence. Oversee and maintain company-wide permits (DOB, DOT, and local municipal agency permits). Maintain neat, structured physical and electronic project filing systems. Assist in preparing and managing project billings, requisitions, and administrative financial documentation. Maintain the Director's calendar, organize daily priorities, and serve as the main point of contact for internal teams and external client inquiries.
Requirements:
Minimum 1+ years of experience in construction administration, general contracting, or real estate development is required. Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook). Exceptional written and verbal communication skills; comfortable interacting with high-level clients, subcontractors, and municipal officials. Outstanding multitasking and problem-solving abilities; thrives under pressure in a fast-paced environment.
