Job Description

Position Overview The Legal Executive Assistant will provide dedicated support to an Elder Law Partner and will have significant interaction with existing clients, prospective clients, attorneys, outside professionals, and family members. This individual will be responsible for keeping the Partner's calendar and workflow organized, maintaining professional and responsive communication with clients and prospects, assisting with estate-planning documents and simple retainers, and following up on outstanding invoices and collections. The successful candidate must be highly organized, professional, personable, detail-oriented, and comfortable taking initiative. Key Responsibilities Serve as a primary point of contact for clients and prospective clients of the Partner Communicate professionally and compassionately with clients by telephone and email Respond promptly to routine client inquiries and determine when matters require the Partner's attention Communicate with prospective clients regarding consultations, requested information, next steps, and engagement Follow up with prospective clients after consultations and assist with moving appropriate matters forward Maintain a high level of professionalism and confidentiality in all client interactions Build positive and lasting relationships with clients and their families Manage the Partner's calendar, appointments, consultations, meetings, and deadlines Assist the Partner in prioritizing daily activities and managing competing demands Monitor outstanding tasks and follow-up items Anticipate the Partner's needs and proactively address administrative matters Coordinate meetings and communications between the Partner, clients, paralegals, attorneys, and outside professionals Help ensure that client matters continue moving forward in a timely manner Provide administrative and legal support relating to estate-planning matters Prior experience with estate planning is required Prepare basic correspondence, forms, checklists, and other routine documents Assist with preparing simple engagement letters and retainers using established firm templates and procedures Assist with billing and account-related administrative responsibilities Monitor outstanding client balances and accounts receivable Conduct professional and courteous collections follow-up with clients Contact clients regarding outstanding invoices and payment arrangements Document collection efforts and follow up as appropriate Escalate delinquent or sensitive accounts to the Partner or appropriate firm personnel Assist with billing questions and coordinate with the firm's billing/administrative team Maintain accurate records of client communications and collection activity Qualifications 3+ years of legal administrative, legal assistant, legal secretary, or executive assistant experience Prior estate-planning experience Experience working directly with an attorney or partner preferred Strong client service and communication skills Experience communicating with prospective clients is strongly preferred Comfortable discussing billing and outstanding balances with clients in a professional manner Strong organizational and time-management skills Exceptional attention to detail Excellent written and verbal communication skills Strong proofreading skills Professional, polished, and personable demeanor Ability to maintain confidentiality and exercise sound judgment Ability to manage multiple priorities in a fast-paced environment Strong proficiency with Microsoft Word, Outlook, and Excel Experience with legal practice management or case management software preferred About our Firm Futterman Lanza, LLP. is an elder law and estate planning law firm headquartered in Smithtown, NY with fully staffed offices in Melville and Garden City. This is a new position we are adding as our firm continues to grow. We are a prominent and preeminent firm on Long Island. We are small enough to operate as a boutique law firm and give clients the attention and compassion they deserve yet big enough that our paralegals, attorneys and staff support each other and our clients in a collaborative and meaningful way. Salary Range & Benefits:
  • $65,000 - $75,000
  • 401K and matching
