The Opportunity We are seeking an experienced, highly organized and technology-forward Senior Executive Assistant to provide direct support to a C-suite executive with responsibilities spanning multiple business interests, teams and locations. This is a fast-paced, high-trust role for someone who has experience supporting senior executives and is accustomed to managing competing priorities in a demanding professional environment. Previous experience supporting senior leadership within a professional services organization is required. We are particularly interested in someone who is comfortable with technology and AI and naturally looks for better, faster and more efficient ways to organize information, manage workflows and support an executive. This is not a traditional administrative position. The right person will be proactive, resourceful, highly organized and capable of operating independently without requiring constant direction. Key Responsibilities
+ Own and manage a complex and frequently changing executive calendar
+ Schedule and coordinate internal and external meetings, calls and appointments
+ Utilize technology, AI and automation tools to improve executive productivity and streamline administrative processes
+ Proactively identify scheduling conflicts and manage competing priorities
+ Coordinate travel arrangements, including flights, accommodations, transportation and itineraries
+ Ensure the executive is prepared for upcoming meetings and commitments
+ Track important follow-ups, deadlines, commitments and action items
+ Coordinate with clients, business partners, employees and other internal and external stakeholders
+ Assist with executive correspondence, documents, presentations and communications
+ Organize and maintain digital files, information and workflows across multiple business interests
+ Assist with expenses, invoices and administrative tracking
+ Identify opportunities to eliminate unnecessary manual work and improve existing workflows
+ Handle confidential and sensitive business information with a high degree of discretion
+ Take ownership of administrative issues and resolve them independently whenever possible
+ Provide additional executive and business support as priorities evolve Requirements Qualifications
+ Experience as an Executive Assistant or Senior Executive Assistant supporting C-suite or senior-level executives
+ Professional services industry experience is required
+ Demonstrated ability to thrive in a fast-paced environment with frequently changing priorities
+ Experience managing complex executive calendars and competing demands
+ Exceptional organizational and time-management skills
+ Excellent written and verbal communication skills
+ Strong attention to detail and follow-through
+ High degree of professionalism, judgment and discretion
+ Ability to work independently and make sound decisions without constant direction
+ Comfortable supporting an executive with responsibilities spanning multiple business interests, teams and locations Technology & AI Strong technology skills are preferred for this position. The successful candidate should be highly comfortable with modern business technology and able to quickly learn and adopt new platforms.
Experience should include:
+ Advanced proficiency with Microsoft 365, including Outlook, Teams, Word, Excel and PowerPoint
+ Calendar, scheduling and remote collaboration platforms
+ Cloud-based document management and productivity tools
+ Modern project and task-management platforms
+ Hands-on familiarity with AI productivity tools such as ChatGPT, Microsoft Copilot, Claude, Gemini or similar platforms
+ Comfort using AI to assist with research, meeting preparation, document creation, organization, summarization and other executive workflows
