This position provides administrative support for the President/CEO; has in-depth knowledge of organizational operations, procedures and policies and personnel; works independently to plan, organize, and schedule work for self; organizes and expedites flow of work through executive office; and coordinates Board activities and other high level meetings, including preparing minutes, meeting materials, maintaining/creating agenda's and meeting scheduling. This position researches, plans, executes, and manages project based work. As well as prepares routine and non-routine special reports including data gathering and summarizing of data, and exercises diplomacy in all facets of the job.Job Requirements:
Bachelor's Degree (Required) 5- 7 years experience in a related field (Required)
Job Responsibilities:
Communicates quality issues to staff in a positive manner, coordinating changes and identifying opportunities for improvement. Handles check requests and expense reimbursements for Administration cost centers and associated centers as necessary, working with the Accounting Department. Initiates, arranges, processes, and completes travel requests and purchase requisitions as necessary. Schedules and arranges meetings as requested. Prioritizes and completes multiple, high priority tasks within specified timeframes. Takes appropriate action to solve problems within scope of responsibility. Alerts the Management of pertinent occurrences she/he may not be aware of. These include system/service line/personnel events as well as correspondence or messages that requires immediate response. Prioritizes all assignments to facilitate timeframes required by involved parties. Duties are performed in a way that is appropriate for an administrative assistant, working independently and with minimal supervision. Attends meetings as requested; writes and types minutes accurately and distributes to appropriate persons within a reasonable timeframe. Creates forms as requested. Sets up and maintains files as needed. Maintains knowledge of the computer and associated software and enhances on an ongoing basis. Answers telephone in a polite and timely manner; accurately transcribes and delivers messages quickly.Working Conditions:
