Job Title - Executive Assistant -
Board & Governance Position Summary:
ASM International is seeking a highly organized, proactive professional to support our Executive Director, Board of Trustees, and leadership team. This role is central to the effective functioning of the Executive Office and plays a key role in coordinating Board governance, executive operations, and high-level meetings and events. The ideal candidate thrives in a fast-paced environment, exercises sound judgment, and is comfortable working with senior leaders, volunteers, and VIP stakeholders while maintaining a high level of professionalism and confidentiality.
Essential Job Duties and Responsibilities:
Board & Governance Support Coordinate all aspects of Board of Trustees meetings, including scheduling, logistics, materials, and follow-up Prepare agendas, presentations, and meeting minutes, ensuring accuracy and timely communication of Board actions Support Board committees, governance initiatives, and strategic planning activities Maintain official governance records, policies, and documentation, ensuring compliance and organization Serve as a liaison to Board members, volunteers, and leadership, supporting engagement and communication Executive Office Operations Manage the Executive Director's calendar, priorities, and daily administrative needs Coordinate internal and external meetings, including travel and logistics Prepare reports, presentations, and confidential correspondence Maintain organized records and corporate files, ensuring accuracy and discretion Support executive-level initiatives and special projects as needed Event & Meeting Management Plan and execute Board-related events and VIP activities, including those held during the organization's Annual Meeting Oversee logistics such as travel, accommodations, catering, meeting setup, and audio-visual needs Provide on-site coordination and ensure a seamless experience for Board members and key stakeholders Committee & Program Administration Manage the Nominating Committee process, including outreach, application management, and coordination of selection activities Support onboarding and orientation of Board members and volunteers Assist with governance-related programs and initiatives that support leadership engagement
Required Qualifications:
4-6 years of experience in executive support, administration, or coordination roles Experience in a non-profit, association, or member-driven organization preferred Strong organizational, time management, and multitasking skills Excellent written and verbal communication skills High attention to detail and ability to handle sensitive information with discretion Ability to work independently while collaborating effectively across teams Travel is expected for 1 or possibly 2 meetings/events per year. Technical Skills Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Experience with survey or database tools (e.g., KeySurvey) is a plus Knowledge of re:

Members AMS, Acumatica, Monday.com is preferred.
