We are seeking a highly organized, dependable, proactive, and professional Executive Assistant to work closely with executive leadership and provide day-to-day administrative, organizational, and operational support. This position is ideal for someone who enjoys being the person who keeps things organized, follows up on important tasks, solves problems, and makes sure nothing falls through the cracks. The Executive Assistant will work closely with leadership as the company continues to grow and transition into a skilled home health agency. Key ResponsibilitiesExecutive & Administrative Support Manage and organize the executive's calendar, meetings, appointments, and priorities. Prepare meeting agendas, notes, follow-up items, and action lists. Monitor deadlines and remind leadership of important tasks. Organize emails, documents, files, reports, and correspondence. Draft professional emails, letters, memos, and internal communications. Conduct research and gather information for leadership when needed. Help prepare presentations, spreadsheets, reports, and other business documents. Maintain confidentiality regarding employee, client, financial, and company information. Operations & Follow-Up Follow up with department managers and staff regarding outstanding tasks. Help ensure company projects and initiatives are completed on time. Maintain task lists and track progress on important projects. Identify problems or missing information and bring them to leadership's attention. Assist with improving office systems, workflows, and organization. Help coordinate communication between departments. Assist with implementing new policies, procedures, and company initiatives. Home Health Agency Support As the agency expands into skilled home health services, the Executive Assistant may assist leadership with: Organizing accreditation and compliance documentation. Tracking required deadlines and submissions. Maintaining administrative records related to CHAP, Medicare, Medicaid, and other regulatory requirements. Helping coordinate audits and quality improvement projects. Organizing QAPI documentation and meeting materials. Assisting with EMR-related administrative projects and implementation. Helping prepare documents and information requested by leadership, auditors, or regulatory organizations. This position is administrative and operational in nature and does not provide clinical care or make clinical decisions. What We Are Looking For The ideal candidate is someone who: Is extremely organized and detail-oriented. Takes initiative without always needing to be told what to do. Is excellent at following up. Can manage multiple priorities at the same time. Has strong written and verbal communication skills. Is comfortable working directly with executives and managers. Is professional, dependable, and trustworthy. Can handle confidential information appropriately. Is comfortable learning new software and technology. Is proficient with Microsoft Office, Google Workspace, email, spreadsheets, and document management. Can work independently while also functioning as part of a team. Has excellent time-management skills. Is comfortable saying, "I'll take care of it," and actually following through. Preferred Qualifications Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, Operations Coordinator, or similar role. Healthcare, home health, hospice, senior care, medical office, or insurance experience preferred. Experience working with an EMR/EHR system is a plus. Experience with compliance, accreditation, or healthcare administration is a plus. Experience supporting an owner, CEO, COO, administrator, or executive is highly preferred.
