Executive Assistant / Office Coordinator Millers Restoration — Bowling Green, OH (On-site) Full-time • Non-exempt (hourly) • Reports to the Vice President About Millers Millers is a family-owned cleaning and restoration company serving Northwest Ohio since 1974 — more than 50 years of helping our neighbors recover from water, fire, and property damage. We're a tight, professional team that takes real pride in service, communication, and doing things the right way.

Recognizing Challenges & Creating Solutions. We're hiring the administrative anchor of our office — the person who keeps money, paperwork, and people moving every day. What You'll Do This is not a coffee-and-calendar EA role. You'll be the in-house hub of a modern, well-organized administrative operation, working alongside our leadership team and our remote administrative assistant. Client payments & receivables: Receive and process client payments on site (checks, cards, deductibles), issue receipts, and drive our accounts receivable — making professional, courteous collection calls to clients, insurance carriers, and adjusters.
Payroll:
Process bi-weekly payroll through our payroll provider (DSC), accurately and on time, every cycle, and maintain confidential employee records with complete discretion. Lien & payment protection: Prepare and execute mechanic's lien filings with the Vice President, following company counsel's guidelines, to protect payment on completed work.
Client communication:
Answer and return client calls the same business day; be the warm, professional first voice of Millers. Onboarding & compliance: Complete new-hire paperwork and I-9s, and keep licenses, registrations, and other compliance renewals current — nothing expires on your watch.
Office coordination:
Handle the administrative tasks that require physical presence — mail, deposits, filing, vendor drop-ins, and a documented daily handoff with our remote assistant so nothing falls through the cracks.
Executive support:
Provide direct administrative support to the Vice President and leadership team as needed. What We're Looking For 3+ years of office administration, AR/collections, bookkeeping, or payroll experience — construction, restoration, or insurance industry background preferred Payroll processing experience required Familiarity with insurance-claim receivables and carrier/adjuster processes a strong plus Comfort with QuickBooks Online basics, payroll systems, and job-management software (we'll train on our specific platforms) Excellent in-person and phone communication — warm, professional, and unflappable Strong organization, follow-through, and attention to deadline-driven detail High level of discretion with confidential financial and HR information High school diploma or equivalent required; associate or bachelor's degree in business or accounting preferred Must be able to work on-site in

#38,000.00-$42,000.00 Annual salary, based on experience Paid every other Friday via direct deposit Health insurance: $300/month company contribution toward your premium for any coverage option you elect Paid time off (accrues from your start, with increased accrual after your first year) Paid holidays: New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving and the Friday after, Christmas Day Schedule Monday-Friday, standard office hours, on-site. Our field teams run 24/7 emergency service, but this role keeps regular business hours.
