Dolev Law LLC is a growing business and estate planning law firm seeking an exceptional Executive Assistant & Client Success Manager to work closely with the firm's owner and help manage client experience, projects, events, and day-to-day operations. This is not a traditional administrative assistant position. We are looking for someone who takes ownership, anticipates what needs to happen next, and makes sure things get done. For the right person, this position has significant opportunity to grow into a broader leadership and operations role within the firm. The Two Things You Must Be Great At There are two qualities that are absolutely essential for this position: 1. You are an exceptional project manager and extremely detail-oriented. You naturally keep track of deadlines, moving pieces, follow-ups, and commitments. You do not need someone reminding you what needs to happen next. You follow through, close loops, and notice when something has not been completed. Things do not fall through the cracks when you are responsible for them. If attention to detail, organization, and follow-through are not among your strongest skills, please do not apply. 2. You are a people person. Our clients are at the center of what we do. You should genuinely enjoy talking with people and be excellent at making clients feel welcomed, heard, and taken care of. You are warm, personable, and professional. At the same time, you are comfortable taking charge of a conversation, communicating expectations, following up, and keeping people moving through a process. What You Will Do This role will work directly with the firm's owner and will have substantial responsibility for keeping client matters, projects, events, and firm operations moving forward.
Responsibilities will include:
Managing and tracking client matters, deadlines, follow-ups, and next steps Serving as a primary point of contact for clients throughout their experience with the firm Proactively communicating with clients and making sure they know what is happening and what is needed from them Managing projects from beginning to completion and ensuring that nothing falls through the cracks Supporting the firm's owner with scheduling, priorities, follow-ups, and executive-level administrative needs Coordinating meetings, client appointments, document reviews, and signings Maintaining and improving internal systems, workflows, checklists, and processes Coordinating with attorneys, staff, vendors, and other professionals Helping manage day-to-day office and operational needs Taking an active role in firm events, seminars, and community programs, including planning and preparation, coordinating logistics and materials, communicating with attendees, attending events, assisting with setup and execution, and handling post-event follow-up Helping ensure events run smoothly from beginning to end and that details are anticipated and handled without requiring constant direction Identifying problems before they become problems and taking ownership of finding solutions As the firm grows, the responsibilities of this position may grow as well. Someone who demonstrates excellent judgment, ownership, and leadership will have the opportunity to take on substantially greater responsibility for client services and firm operations. In addition to the regular work schedule, you must be willing and available to work occasional evenings and weekends for firm seminars, client events, networking events, and other programs. Events are an important part of the firm's growth and community presence. This position will not simply provide administrative support for events; you will be expected to help prepare for them, attend them, interact with attendees, help ensure they run smoothly, and manage appropriate follow-up afterward. Weekend and event availability is an expected part of this position. Experience Experience in executive assistance, project management, client success/client services, office management, operations, professional services, hospitality, event management, or a similar high-touch client environment is strongly preferred. Law firm experience is helpful, but it is not required . We care more about your ability to manage projects, master details, communicate exceptionally well with people, and take ownership. Most Important We can teach you our systems and processes. We cannot teach you to care about details, consistently follow through, or genuinely enjoy working with people.
