Job Description

We are looking for an Executive Assistant to join a fast-paced audio visual company serving hotel and corporate clients in California. This contract opportunity is ideal for a proactive individual who can provide high-level administrative and operational support while keeping priorities organized across a busy business. The role combines executive support, office coordination, and project-related assistance for leadership, requiring sound judgment, strong communication, and the ability to adapt quickly as needs change.
Responsibilities:
  • Manage calendars, coordinate meetings, and keep leadership schedules aligned with changing business priorities.
  • Arrange business travel, including hotel bookings, itineraries, and related logistics for executives and team members.
  • Support employee onboarding and assist with coordination involving contractors and external partners.
  • Track receipts, organize documentation, and help ensure payables are properly matched to purchase orders.
  • Order equipment and office supplies while maintaining organized records and filing systems.
  • Provide day-to-day office support, including conference preparation, errands, food pickup, and general workplace coordination.
  • Assist leadership with project follow-up by monitoring action items and helping drive completion of outstanding tasks.
  • Contribute ideas for improving administrative workflows and creating more efficient internal processes.
