Job Overview The Executive Assistant provides high-level strategic and administrative support to the executive, serving as a trusted partner who enables effective leadership, operational efficiency, and organizational success. This role is responsible for managing executive priorities, coordinating day-to-day office operations, and ensuring the smooth execution of administrative and business activities. Acting as a key liaison between the executive and internal and external stakeholders, the Executive Assistant exercises sound judgment, discretion, and professionalism while anticipating needs, managing competing priorities, and proactively resolving issues. The role also leads the development and coordination of executive presentations, ELT and MC materials, and leadership communications, ensuring information is accurate, visually compelling, and aligned with organizational objectives. Success in this role requires exceptional organizational skills, attention to detail, strong business acumen, and the ability to manage confidential information while fostering a highly efficient and professional executive office. Key Job Responsibilities Executive Operations Calendar management and prioritization Travel planning and coordination Expense management oversight Executive Communications PowerPoint development and formatting Coordination of Executive presentations for: Pulse Quarterlies MC ELT Leadership communications support Preparation of meeting materials and pre-reads as needed Drafting and editing executive correspondence Leadership Team Coordination Leadership meeting travel coordination and logistics Visa assistance for international travel and guests Leadership meeting support, set up, lunches, coordination, IT support, etc. Hospitality and Event Management Executive visits and customer meetings Strategy sessions and leadership off-sites Venue, catering, transportation, and logistics coordination PPG Paints Arena - management of Suite 02 Office and Facilities Support Office supplies and vendor coordination Facilities management, et al. Maintenance, cleaning, office moves, issues, personnel changes, etc. Conference room and workplace support AI-Enabled Information Management Meeting transcript summarization Report consolidation and executive briefings First-draft communications using AI tools Qualifications/Requirements Education Bachelor's degree in business administration, Communications, Management, or a related field preferred. An equivalent combination of education and relevant experience will be considered. Experience 5+ years of progressively responsible executive administrative experience, preferably within a complex, global organization. Demonstrated experience serving as a strategic business partner to senior leadership, managing competing priorities in a fast-paced environment. Experience coordinating executive-level meetings, board meetings, leadership off-sites, and complex domestic and international travel. Proven experience preparing executive presentations, board materials, reports, and communications for senior leadership audiences. Experience managing executive office operations, including budgeting, expense management, vendor coordination, and administrative processes. Experience coordinating cross-functional initiatives, tracking deliverables, and following up on executive action items. Experience handling highly confidential and sensitive business information with discretion and professionalism. Knowledge, Skills & Competencies Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously. Outstanding written and verbal communication skills, including advanced business writing, editing, and proofreading abilities. Advanced proficiency in Microsoft Office 365, particularly PowerPoint, Excel, Word, Outlook, and Teams, with the ability to create polished executive-level presentations. Strong business acumen and the ability to understand organizational priorities and translate them into effective administrative support. Excellent attention to detail with a commitment to accuracy and quality. Strong interpersonal skills with the ability to build trusted relationships across all organizational levels and with external stakeholders. Demonstrated ability to exercise sound judgment, anticipate executive needs, solve problems proactively, and work independently with minimal direction. High degree of professionalism, discretion, integrity, and confidentiality. Experience supporting global teams and working across multiple time zones is preferrer Key Skills Required by Komatsu
