About Us Premier Financial Partners is an established, independent wealth management firm serving individuals, families, and business owners. We are a close-knit team built around long-term client relationships, and many of our clients have been with us for decades. We are looking for a seasoned professional to support our Managing Partner and serve as the welcoming face of our office as a long-tenured member of our team retires. The Role This role combines executive support for the Managing Partner with coordination of the office and the client experience. You'll manage his calendar and communications, be the first point of contact for clients in person and by phone, handle client service requests and paperwork, and keep the office running smoothly. You'll also help coordinate firm marketing and client appreciation events. This role reports to the Operations Manager and works closely with our Review, New Business, and Client Service teams. We need someone who follows established processes and direction carefully, and who also has the experience and confidence to speak up when something doesn't look right. In a regulated environment, a good question asked at the right time is part of doing the job well. Executive Support Manage the Managing Partner's calendar, email, phone calls, and voicemail, and keep his day organized and on track Schedule client reviews, calls, and follow-up meetings, and prepare client files ahead of appointments Run the daily Notes Report and keep product and account naming conventions consistent across our platforms Manage client touches and life-event outreach (sympathy, get well, thinking of you) Make client and business bank deposits as needed Client Service Greet clients and guests by name, offer refreshments, and make every visit a pleasant one Answer and route calls, take messages, and document interactions and follow-up tasks in Redtail CRM Prepare and process service paperwork, including address and beneficiary changes, distributions, withdrawals, surrenders, redemptions, and account maintenance Work with our broker-dealer (IFG), AssetMark, and product carriers to resolve client requests, escalating issues when needed Attend post-meeting prep with advisors to capture and complete service follow-ups Manage client insurance premium payment reminders Office Coordination Handle opening and/or end-of-day office closing procedures Review, sort, and distribute mail; monitor faxes and secure communications Order office and kitchen supplies, and coordinate team lunches and celebrations Coordinate with building management on facility and maintenance needs Marketing & Events Support firm marketing and social media, making sure all content goes through compliance review Help plan and run client appreciation events, working with wholesaler sponsors and vendors Take part in firm and wholesaler Lunch & Learns What We're Looking For 5+ years of experience in financial services, ideally supporting a senior advisor, principal, or executive at a wealth management firm Hands-on experience with client account paperwork (brokerage, advisory, annuities, insurance) in a FINRA-regulated setting A track record of following procedures accurately, along with the judgment to question and flag anything that seems off A warm, polished, professional presence with clients and guests Strong attention to detail and follow-through, with the ability to juggle a varied workload and meet deadlines without being reminded Excellent written, verbal, and interpersonal communication skills Discretion and integrity with confidential client information Intermediate or better Microsoft 365 skills and comfort learning industry software Preferred Experience with Redtail CRM, Pershing/NetX360, AssetMark, Box, and DST Vision Experience creating social media content (LinkedIn, Facebook) or planning client events Bachelor's degree or equivalent experience Compensation , Benefits & Schedule $55,000
- $68,000 annually, negotiable.
